Dear Sir or Madam,

Student answer (Band 7.0)

Dear Sir or Madam,

I am writing this letter to inform you that I have to cancel a part-time course named Computer Programming which I booked a month ago.

I have been working full-time as a Quality Inspector in a metal stamping company. When I asked the owner of the company about reducing my working hours so that I can join evening classes for the course, he did not allow me to do it.

He also told me that this course is not beneficial for the company, so I want to cancel it.

At last, he agreed to reduce my working hours only on one condition, if I am going to join a course which is relevant to work which I am doing there. Furthermore, he also suggested me that I can learn programming related to Co-ordinate Measuring Machine, which he is going to purchase it in the next month. I noticed that this course is available in the college. Please inform me if there is any seat available for the course.

I would be extremely grateful if you could response at your earliest convenience.

Yours faithfully,

Ravneet Kaur

Task Achievement / Task Response — Band 8.0

The response successfully addresses all three bullet points of the prompt. You clearly identify the Computer Programming course, explain the work-related conflict regarding your schedule, and inquire about an alternative course related to the Co-ordinate Measuring Machine. The tone is appropriate for a formal letter to an administrator. The ideas are well-developed and relevant to the task requirements. You have maintained a consistent focus throughout the letter, and the purpose of your communication is clear from the opening paragraph to the final request. No parts of the task were omitted, and the response is well-structured for a formal request.

Coherence and Cohesion — Band 7.5

The letter is logically organized with a clear progression of ideas. Each paragraph serves a distinct purpose: the introduction states the purpose, the body paragraphs explain the situation and the request, and the closing provides a polite sign-off. You use cohesive devices such as 'Furthermore' and 'At last' to connect your thoughts, although 'At last' is slightly unnatural in this context (a better choice would be 'Finally' or 'Subsequently'). Paragraphing is used effectively to separate the different stages of your request. The flow of information is smooth, and the reader can easily follow the narrative of your employment situation and your subsequent request for a course change.

Lexical Resource — Band 6.5

You demonstrate a sufficient range of vocabulary to communicate your message clearly. Phrases like 'at your earliest convenience' and 'extremely grateful' are appropriate for formal correspondence. There are some minor issues with collocation and word choice, such as 'suggested me that' (should be 'suggested that I') and 'relevant to work which I am doing' (should be 'relevant to the work I am doing'). While the vocabulary is adequate for the task, it lacks the sophistication or precision that would push the score into the 8.0+ range. However, the meaning is never obscured, and the language used is functional and professional.

Grammatical Range and Accuracy — Band 6.5

You use a mix of simple and complex sentence structures, such as the conditional sentence 'if I am going to join a course...'. There are some grammatical inaccuracies, such as 'he is going to purchase it in the next month' (the 'it' is redundant here) and 'if you could response' (should be 'respond'). Additionally, the phrasing 'he also suggested me that' is a common error; the verb 'suggest' does not take an indirect object in this way. Despite these errors, the majority of your sentences are clear, and the mistakes do not impede communication. The punctuation is generally accurate throughout the letter.
