Student answer (Band 7.0)

Dear Sir or Madam,

I am writing regarding the cancellation of the part-time course, which I recently booked at your college last month. I am a physiotherapist working at Hinduja Hospital in Mumbai and I booked a part-time course of Hospital management. The duration of course is 6 months.

Unfortunately, due to some family medical emergency I have to travel back to pune for sometime. As course requires me to attend the classes offline at least twice a week, I am not sure, if I will be able to travel back for the classes. In addition to this, I will have to help my family in this situation and I won't be able to focus properly on study and complete any assignments on time.

I believe right now, the best solution would be to cancel or I would like to know, if you have any other course related to hospital management and which I can be attend online. This will really help me to continue my studies without any break.

Let me know if you need any further information regarding my current course, and I will be looking forward for your response.

Yours sincerly

Task Achievement / Task Response: Band 8.0

The letter covers all three requested points clearly. You identify the booking as a six-month part-time hospital management course, explain that a family medical emergency requires you to travel to Pune, and describe why attending twice-weekly in-person classes would be difficult. You also ask about an online alternative, so the administrator can understand the practical solution you are seeking. The explanation is well supported by the detail that you need to help your family and may not complete assignments on time. To make the request fully precise, state directly that you are cancelling the existing booking, rather than writing “the best solution would be to cancel or I would like to know,” which leaves the action slightly unclear. Overall, the purpose and tone are appropriate for a formal letter.

Coherence and Cohesion: Band 7.0

The information follows a clear sequence: you introduce the booking, explain the circumstances, then ask about an alternative and close politely. Paragraphing separates these stages effectively, and links such as “Unfortunately” and “In addition to this” help show how the reasons relate. The progression is easy to follow throughout. Some connections could be smoother and more concise, particularly “the best solution would be to cancel or I would like to know,” where two different requests are joined without a clear relationship. The final paragraph also combines the cancellation and alternative-course request; separating these into direct, distinct sentences would make the letter’s purpose even clearer. Overall, cohesion is effective, though a few links and sentence boundaries need more careful control.

Lexical Resource: Band 6.5

You use a suitable range of vocabulary for the situation, including “family medical emergency,” “attend the classes offline,” “assignments,” and “continue my studies without any break.” These choices communicate the circumstances and your request clearly, and the tone is generally appropriate. Some word combinations and forms are less natural, however: “course of Hospital management” would be more idiomatically expressed as “course in hospital management,” while “course related to hospital management” could be made more precise. There are also spelling and word-choice slips, including “sincerly” and “for sometime.” These do not prevent understanding, but greater accuracy and more natural collocations would strengthen the letter’s fluency and precision.

Grammatical Range and Accuracy: Band 6.5

The letter includes a useful mix of simple and complex structures. For example, “As course requires me to attend the classes offline at least twice a week, I am not sure…” gives a clear reason, and the sentence beginning “In addition to this” develops the explanation. Meaning remains clear despite some grammatical errors. These include missing or incorrect articles in “As course requires” and “on study,” the awkward construction “I will be looking forward for your response,” and the incorrect form “which I can be attend online.” Punctuation also needs attention in “I am not sure, if…” and around the alternatives in the cancellation request. Review articles, verb patterns after modal verbs, and prepositions in common expressions; this will help you produce more consistently accurate sentences.
