Dear Sir / Madam,

Student answer (Band 6.5)

Dear Manager,

I am writing to inform you that my company is organizing a special event in your hotel next week on Friday at 11 am in the morning. You will be delighted to hear that there are a considerable number of foreign team members who are interested to be a part of that event. The event will provide the significant information about the upcoming projects of the organization that will take place internationally. Consequently, it will contribute to bring some valuable insights and expertise from the distinctive communities.

You would be grateful to know that your hotel seems the most appropriate place to conduct the visit. Since it is quite far away from the airport, It has a peaceful environment and remarkably spacious. Moreover, the interior is exceptionally impressive. Apart from that I would like to suggest you to arrange a shuttle service from the airport to make it more convenient and commutable.

I would appreciate it if you would consider my request. I look forward to hearing from you soon.

Yours sincerely,

Manpreet kour

Task Achievement / Task Response — Band 6.5

The letter addresses all three bullet points: providing event details, mentioning positive aspects of the hotel, and suggesting improvements. However, the tone is occasionally inconsistent. For example, the phrase 'You would be grateful to know' is unnatural and sounds slightly demanding rather than professional. Additionally, the event details are somewhat vague; while you mention the time and date, the nature of the 'special event' remains unclear. To reach a higher band, ensure that the content is not only relevant but also logically connected to the context of a business event. The ideas are generally well-developed, but the overall tone needs to be more consistently formal and polite to suit a business communication.

Coherence and Cohesion — Band 7.0

The letter is logically organized into clear paragraphs, each serving a specific purpose. You use cohesive devices such as 'Moreover', 'Consequently', and 'Apart from that' to link ideas. However, some of these transitions feel slightly mechanical or forced. For instance, 'Consequently' is used in a way that does not logically follow the previous sentence regarding the event's purpose. Referencing is generally clear, but the flow between sentences could be improved by varying the structure of your cohesive links. The paragraphing is appropriate for a formal letter, which helps the reader follow your argument easily.

Lexical Resource — Band 6.5

You demonstrate a sufficient range of vocabulary to convey your message clearly. Phrases like 'considerable number', 'valuable insights', and 'exceptionally impressive' show a good attempt at using more sophisticated language. However, there are some minor inaccuracies in collocation and word choice, such as 'conduct the visit' (which is awkward in this context) and 'commutable' (which usually refers to a distance, not a service). While these errors do not impede communication, they prevent the response from reaching a higher band. Focusing on more natural collocations for business correspondence would be beneficial.

Grammatical Range and Accuracy — Band 6.5

You use a mix of simple and complex sentence structures, which is appropriate for this task. There are some grammatical slips, such as 'interested to be a part of' (should be 'interested in being a part of') and 'It has a peaceful environment and remarkably spacious' (missing a verb, e.g., 'and is remarkably spacious'). Additionally, '11 am in the morning' is redundant. Despite these errors, the meaning remains clear throughout the letter. To improve, pay closer attention to subject-verb agreement and the correct use of adjectives and prepositions in complex sentences.
