Student answer (Band 7.5)
Dear Sir / Madam,
I am writing to inform you about the event that our company organised at your hotel. First of all, I would like to appreciate all the efforts that you made on your part to make this event a success. There were few things that need improvement but overall everyone was satisfied with the event.
Let me start by giving you some information about our event. It was a one day conference conducted by Pakistan orthodontic association. They organise this conference once every year for dentists and orthodontic specialists. Local as well as international speakers are invited on this conference. This year, the three key-note speakers were invited from the US.
What I particularly loved about the hotel was the spacious auditorium, which was perfect for a gathering like this. I could not find this much space at any other hotel for our conference. People sitting in the back were also able to see the presentation very clearly because of the staired seating arrangement. This was also a very distinct feature of your hotel that I could not find elsewhere.
While everything else was according to the standards, there is one area which I suggest needs improvement. The air conditioning in the hall needs a lot of improvement. People attending the conference as well as the speakers were all profusely sweating. Although, your staff was very cooperative and quick to resolve the issue. I would suggest you to increase air conditioning in the auditorium to avoid this inconvenience altogether.
I thank you for the hospitality and cooperation.
Kind regards,
Novaira

Task Achievement / Task Response: Band 7.5
The letter addresses all three requirements clearly: it explains that the event was an annual, one-day conference for dentists and orthodontic specialists, praises the spacious auditorium and tiered seating, and identifies inadequate air conditioning as the main problem. The details about the three speakers from the US and the visibility from the back help make the account specific, while the courteous opening and closing suit the purpose. The improvement request is also clear and linked to the discomfort experienced by attendees. To make the response more fully developed, explain a little more about the event’s scale or how the cooling problem affected proceedings, and make the requested action slightly more precise. Overall, the purpose and tone remain clear throughout.
Coherence and Cohesion: Band 7.5
The information follows a clear, logical sequence: an opening assessment, event details, positive features, an area for improvement, and a polite closing. Paragraphing supports this progression, and signposts such as “Let me start” and “What I particularly loved” help the reader follow the shift between points. References to “this conference” and “the auditorium” are generally easy to track. Some linking is a little formulaic, particularly the repeated use of “This” to introduce related points, and “Although” begins a sentence fragment rather than connecting the contrast smoothly. For more polished cohesion, vary the transitions and combine the staff’s helpful response with the air-conditioning complaint in a complete, well-linked sentence.
Lexical Resource: Band 7.0
The vocabulary is sufficiently varied to describe the event, the venue, and the problem with some precision. Phrases such as “spacious auditorium,” “international speakers,” “tiered seating arrangement,” and “profusely sweating” convey relevant details, while the formal tone is mostly appropriate for a letter to a manager. There are occasional awkward or imprecise collocations, including “appreciate all the efforts that you made on your part,” “conducted by” for the conference, and “increase air conditioning.” “Distinct feature” is understandable but slightly unnatural in this context. Aim for more idiomatic combinations and precise verbs, while retaining the useful range already shown.
Grammatical Range and Accuracy: Band 7.0
The response uses a mix of simple and complex structures, including the relative clause “which was perfect for a gathering like this” and the reason clause beginning “because of.” Many sentences are clear and grammatically controlled. A few errors persist: “There were few things” needs an article, “They organise” shifts tense from the past account, and “Although, your staff was…” is an incomplete subordinate clause with incorrect punctuation. The request “I would suggest you to increase” also uses an incorrect verb pattern; use “I would suggest increasing…” or “I would suggest that you increase…”. Check tense consistency and sentence boundaries, especially when using contrast clauses, to make the grammar more consistently accurate.
