Dear Sir / Madam,
Student answer (Band 6.5)
Dear Sir/Madam,
I am writing with regard to the meeting that our company held at your premise on 26/06/2026.
Our company had organised a team-building event that was aimed at letting employees learn various aspects of their jobs. It was particularly planned by our director because, he acknowledged that for a very long time we had been working in our offices and had not spared some time to have meetings out of the institution. The staff were receptive of the idea and your hotel was voted in as the most preferred location to host the meeting
The venue was so neat and organized.I greatly appreciate the proper furniture arrangement that ensured all staff from our institution sat comfortably and were able to write some notes when required. Our meals were well prepared and we had enough water for the event. The staff were quite hospitable and we left the hotel feeling refreshed and our welfare was well taken care of.
One challenge we encountered was extreme temperatures in the room.It was quite unfortunate to learn that there were no air conditioners to help us regulate the temperatures in the boardroom. In the afternoon, it became very hot and this made the staff quite uncomfortable. We had to complete the last session of our seminar outside because it was become unbearable to sit inside. It is therefore my humble appeal that your business my consider seeting up air conditioners within the building for proper air control.
kind regards,
Liz.

Task Achievement / Task Response: Band 7.5
The letter clearly covers all three requested points. You identify the event as a team-building meeting on 26 June 2026, explain its purpose, praise the room arrangement, meals and hospitality, and describe the heat problem with a practical request for air conditioning. These details make the message relevant and give the hotel manager a clear understanding of your experience. The positive comments are particularly well supported, while the improvement point is also explained through its effect on staff and the need to finish outside. To develop the response further, clarify a few details about the event itself—for example, its duration or the number of attendees—and make the requested action slightly more specific. The purpose and outcome are clear, though some details remain general.
Coherence and Cohesion: Band 7.0
The information follows a clear, sensible sequence: you introduce the meeting, describe the event, give positive feedback, and then raise a concern. Separate paragraphs help the reader distinguish these functions, and phrases such as “One challenge we encountered” signal the shift to the complaint effectively. The progression is easy to follow overall. Some links between ideas could be smoother: the long sentence beginning “It was particularly planned by our director” contains several points, and the transition from the event’s purpose to the hotel choice is abrupt. There are also missing spaces after full stops, which interrupt the visual flow. For stronger cohesion, divide the longer sentence and use a brief linking phrase to connect the event details with the hotel selection.
Lexical Resource: Band 6.0
You use an adequate range of vocabulary for a formal hotel letter, including “team-building event,” “hospitable,” “boardroom,” and “regulate the temperatures.” These choices communicate the situation clearly, and the tone is generally appropriate. Some word choices and collocations are inaccurate or awkward, however, such as “at your premise,” “receptive of the idea,” and “proper air control.” There are also spelling or word-form slips, including “seeting” and “my business my consider,” which reduce precision. Aim for natural combinations commonly used in formal correspondence, and proofread carefully for spelling. More precise wording for the event and the requested facility would make the letter sound more fluent and professional without requiring unusually advanced vocabulary.
Grammatical Range and Accuracy: Band 6.0
The letter includes both simple sentences and more complex structures, such as “The staff were receptive of the idea and your hotel was voted in as the most preferred location” and the explanation of how the heat affected the final session. Meaning remains clear throughout, but some grammatical errors persist. For example, the comma after “because” is unnecessary, “it was become unbearable” has an incorrect verb form, and “our company held at your premise” needs a grammatically suitable noun form and determiner. Several sentences also run together because spaces or sentence boundaries are missing, as in “institution. The staff” and “event. The staff.” Review verb forms and sentence punctuation, and check each sentence for a complete, correctly connected structure. This would improve accuracy while preserving your range.
