Dear Sir / Madam,

Student answer (Band 6.5)

Dear Sir / Madam,

I am writing to show my gratitude for the service your hotel provide us during our company's event. Last saturday, our company Kirpa Properties booked your hotel for a yearly award function. The event took place in the banquet hall around 12pm till 6pm with a gathering of 50 people.

Moreover, the whole credit to make the event successfull goes to your hotel as every detail was taken care of that we asked at last minute.I appreciate the whole menu was according to our taste and the service provided was beyond the expectations. The main thing that stands out for us was customer service as the hotel booking was till 6pm but unfortunately, it went long till 8pm and your staff catered us without any extra charges.

No doubt, everything was perfect but only capacity of the banquet hall needs to be improvised as we had invited 70 guests but due to capacity of your hotel only 50 were accomodated which caused considerable inconvenience for us. I would suggest you to expand the capacity and arrangements so that we can book you in the future for big events.

I would like to thank you and will look forward to work with you in the future for more meetings and events.

Yours sincerely,

John Hildy

Task Achievement / Task Response: Band 7.5

The letter clearly addresses all three requirements: it identifies the company’s yearly award function, describes the banquet hall booking and attendance, praises the menu and staff, and recommends increasing the hall’s capacity. The specific example that staff continued serving guests until 8 p.m. without extra charges gives your appreciation convincing support. Your improvement request is also linked to a real problem: 70 people were invited but only 50 could be accommodated. To make the response even stronger, develop the suggestion more precisely—for example, clarify whether you mean enlarging the hall, offering a larger venue, or improving arrangements for larger groups. The purpose and tone remain clear throughout, with ideas generally extended and supported.

Coherence and Cohesion: Band 7.0

The letter follows a clear, reader-friendly progression: it introduces the event, explains what went well, raises an area for improvement, and closes with thanks and future interest. Paragraphing supports these distinct purposes, and details such as the event time and guest numbers are placed where they are easy to follow. Linking expressions including “Moreover,” “No doubt,” and “I would like to thank you” help signal shifts between points. At times, however, the connections feel slightly mechanical, and “Moreover” does not quite express the relationship between the event details and the praise. Use a more natural transition or connect the ideas directly, and ensure punctuation separates clauses clearly.

Lexical Resource: Band 6.0

You use an adequate range of vocabulary for a formal letter, including relevant expressions such as “yearly award function,” “banquet hall,” “customer service,” and “considerable inconvenience.” These choices make the situation and your evaluation clear. There are also attempts at more formal phrasing, such as “beyond the expectations,” though this collocation is not quite natural; “beyond our expectations” would be more idiomatic. Some word choices and spelling errors—“successfull,” “accomodated,” and “improvised” where “improved” is intended—reduce accuracy. Aim for precise, natural collocations and check spelling, especially in key evaluative phrases, while retaining the formal tone.

Grammatical Range and Accuracy: Band 6.0

The response includes both straightforward statements and longer sentences with subordinate clauses, as in the explanation that the event ran late and staff continued to serve guests. Meaning remains clear, and the letter’s overall structure is easy to understand. Some grammatical errors remain, however. In “the service your hotel provide us,” the verb should agree with “hotel” and the past event, and “provide us with” is the appropriate pattern. “I would suggest you to expand” should be “I would suggest expanding” or “I would suggest that you expand.” There are also punctuation and sentence-boundary issues, particularly where a space is missing after “minute” and where long clauses could be separated more cleanly. Review verb forms and patterns after reporting verbs.
