Student answer (Band 6.0)

Dear Sir/Madam

I am writing this letter to inform you that, I will be overseeing all the event arrangements on behalf of the company for the event being hosted in the hotel. It is the Christmas event that we want to organize. For that, I would be giving you brief details about our expectations.

We would like you to decorate event hall for the Christmas themed party and if there would be someone dressed as Santa it would be perfect. Also, there would be a total of 50 pax which is why we would need sitting arrangements in that ballpark. For catering service, start with starters for about first 2 hours of the event then we can transition to the main course and morei important bar should be running at all the time.

Last year when we organized a event at your venue we were impressed by the attitude of your staff and the cleanliness of the event hall. We would love to experience the same hospitality this time as well. For instance, one of our collegue got tipsy by the end of the event but the hotel called cab for him and parked his car at the garage overnight free of cost.

However, food service was a bit dissapointing as some of the dish were undercooked. I would suggest that you should bring your attention to that issue. For example, the pasta that was served at that event was raw and some of our collegeue had food poisoning.

At the end I would like to tell you that the service should be same or even better then the last time but food service should be improved so that we can bring our business to this hotel next time as well. If you have any question you can reply to this email or else I will be looking forward to meeting you at the event.

Yours,

XYZ

Task Achievement / Task Response: Band 6.5

The letter addresses all three requirements: it identifies a Christmas company event, gives practical arrangements for 50 guests and catering, praises the staff and cleanliness, and raises concerns about food quality. The examples about a staff member arranging a taxi and storing a car, and the undercooked pasta, make the feedback relevant and specific. The event details are useful, but some expectations remain unclear or less fully developed—for example, the timing and service plan are not expressed precisely, and the requested improvements are focused mainly on food preparation. The closing also shifts between a planned event and a past event without clearly establishing the purpose of this letter. A clearer, consistent account of the upcoming event and more precise requests would strengthen the response further.

Coherence and Cohesion: Band 7.0

The letter has a clear overall progression: it introduces the event, sets out arrangements, describes positive experiences, then explains a problem and closes with expectations. Paragraphing supports these distinct purposes, and linking expressions such as “Also,” “However,” and “For instance” help the reader follow the points. Some connections are less smooth, however. The opening says the event is being hosted, then presents arrangements as requests, while the final paragraph refers to meeting at the event; clarifying the timeline would improve progression. The catering sentence also combines several instructions in one long sequence, making the order of service harder to follow. Use shorter, clearly linked sentences for the arrangements and maintain a consistent perspective throughout.

Lexical Resource: Band 5.5

The response uses enough vocabulary to communicate the event arrangements and the hotel feedback, including “catering service,” “hospitality,” “undercooked,” and “food poisoning.” However, several word choices and collocations are inaccurate or informal, which limits precision: “50 pax” is less suitable in a formal letter than “50 guests,” and “sitting arrangements in that ballpark” is awkward. There are also noticeable spelling errors, including “collegue,” “dissapointing,” and “morei,” alongside inconsistent forms such as “collegeue.” These do not prevent understanding, but they reduce the overall control of vocabulary. Choose standard formal expressions and proofread spelling carefully to make the message more polished.

Grammatical Range and Accuracy: Band 5.5

There is a mix of simple and more complex sentence forms, including conditional phrasing (“if there would be someone dressed as Santa”) and clauses introduced by “which is why” and “as.” The main message remains understandable, but some grammatical errors recur. For example, “I am writing this letter to inform you that, I will be overseeing” has an unnecessary comma and an awkward clause structure; “a event” needs an article correction, and “some of the dish were” has a number-agreement error. The sentence beginning “For catering service” also lacks clear grammatical control as it moves between instructions and future arrangements. Review articles, singular/plural agreement, and sentence boundaries, and use direct constructions such as “We would like the bar to remain open throughout the event.”
