Dear Sir / Madam,

Student answer (Band 6.5)

Dear Sir/Madam,

I hope you are well. I'm Ume Laila, Program Coordinator from SPHERE Consulting. I recently booked an event for our "Public Health Workshop" in your Alam Boardroom. I really liked the ambiance of your hotel. Your hotel provides the environment that is particularly required for a workshop. Another key consideration was the polite and kind behaviour of your staff. The staff was competent and managed the whole event very efficiently.

Although the event went successful, the quality of the food was not upto the mark. The taste of food was average and several food items were unavailable when we were finalizing the menu with your manager. I have tried your food before and I liked the taste but at the event the food was not delicious and was a bit cold at the time of serving.

I would like to suggest you to pay attanetion to your food section. I hope you will look into this matter.

Kind Regards,

Ume Laila

Task Achievement / Task Response: Band 7.0

The letter addresses all three requirements: it identifies the Public Health Workshop and Alam Boardroom, praises the hotel’s ambience and staff, and raises concerns about the food. The criticism is supported with relevant details, including unavailable menu items and food being cold when served, so the manager can understand the issue. The tone is generally courteous and the purpose remains clear. To make the response more fully developed, explain the practical effect of these problems on the event or specify what improvement you would like, such as better menu availability or checks on serving temperature. The request to “pay attention to your food section” is understandable but broad; a more precise recommendation would strengthen the letter’s impact.

Coherence and Cohesion: Band 7.0

The information follows a clear, sensible progression: you introduce yourself and the event, describe what worked well, then move to the food concerns and close with a request. Paragraphing helps distinguish the positive feedback from the criticism, and linking expressions such as “Although” and “Another key consideration” guide the reader through your points. The sequence within the food paragraph is also logical, moving from menu availability to taste and temperature. To improve further, make the relationship between the earlier positive experience with the food and its quality at this event more explicit, so the contrast feels smoother. A more specific closing request would also give the final paragraph a stronger sense of completion.

Lexical Resource: Band 6.0

You use an adequate range of vocabulary for a formal complaint, including “ambiance,” “competent,” “efficiently,” and “unavailable.” These choices communicate both appreciation and dissatisfaction, and the meaning remains clear. There are, however, some inaccurate or unnatural choices that limit precision: “the event went successful” is not idiomatic, “the taste of food was average” is rather general, and “pay attanetion to your food section” contains a spelling error and an imprecise phrase. “Kind behaviour” also repeats the idea of politeness. Aim for more natural collocations and precise service-related vocabulary, such as describing the food as “lukewarm” or asking the hotel to review its catering arrangements.

Grammatical Range and Accuracy: Band 6.5

The letter includes a mix of simple and more developed sentence forms, and several sentences are clear and controlled, such as “The staff was competent and managed the whole event very efficiently.” The use of “Although” to introduce a contrast also shows an attempt to vary sentence structure. Some grammatical errors remain: “I recently booked an event … in your Alam Boardroom” would be more naturally framed as booking the room for an event, and “I would like to suggest you to pay” has an incorrect verb pattern. The sentence about food items being unavailable while finalising the menu is also awkwardly constructed. Review verb patterns after “suggest” and “like,” and check sentence phrasing so that the intended relationships are expressed directly.
