Student answer (Band 6.5)

Dear Prakash,

I hope you are well. I am writing this letter regarding an issue related to a stacked washer-dryer unit.

For the past few weeks the machine is not working efficietly. The washing machine shut-downs in the middle of a cycle, and dryer is malfunctioning that is making the unit inoperable. Therefore, it is causing me considerable problems.

I informed the buildings technical team for a quick inspection, but the matter remains unresolved. Hence, I would like to request if you could arrange a temporary replacement or repair until the issue has been resolved would be helpful.

I will suggest if you can visit my apartment along with a technician to identify the problem would be a good idea.

I am looking forward to receiving a quick response from your side. Please let me the date prior if you look forward to visit my apartment for an inspection.

Kind regards,

Ansh.

Task Achievement / Task Response: Band 7.5

The letter addresses all three requested points: it describes the washer-dryer fault, proposes a repair or temporary replacement, and asks the manager to visit with a technician. The problem is made clear through the machine shutting down mid-cycle and the dryer malfunctioning, while the reference to an earlier inspection explains why you are writing now. Your requests are relevant and polite. To make the response more fully developed, add a practical detail about the impact or urgency—for example, how the fault affects your ability to do laundry—and specify a suitable time for the visit. The proposed solution could also be stated more directly, rather than relying on the somewhat indirect phrase “would be helpful.”

Coherence and Cohesion: Band 7.0

The letter follows a clear sequence: opening purpose, description of the fault, previous action, requested remedy, and a visit request. Paragraphing helps the reader distinguish these stages, and linking expressions such as “Therefore” and “Hence” show the relationship between the problem and your requests. Some connections are less smooth because several sentences repeat the idea of requesting action, and “I will suggest if you can visit…” is difficult to follow. The closing also combines a request for a quick response with an unclear instruction about confirming the visit date. Use more direct transitions and make each paragraph perform a distinct function to strengthen the progression.

Lexical Resource: Band 6.0

You use an adequate range of vocabulary for a maintenance letter, including “stacked washer-dryer unit,” “malfunctioning,” “temporary replacement,” and “inspection.” These choices communicate the issue and the action you want. However, some word forms, spelling, and collocations are inaccurate or unnatural: “efficietly” is misspelled, “shut-downs” is not the natural form here, and “buildings technical team” needs a possessive or a more natural phrase. “Quick response from your side” is also less idiomatic than a direct request for a prompt reply. Aim for accurate, natural combinations rather than adding more formal vocabulary; this will make the letter sound more fluent and professional.

Grammatical Range and Accuracy: Band 6.0

The letter includes both simple statements and attempts at more complex structures, such as “I informed the buildings technical team…, but the matter remains unresolved.” The meaning is generally understandable, but some grammatical errors remain. In “the machine is not working” and “The washing machine shut-downs,” the verb forms do not fit the intended time reference; “the dryer is malfunctioning that is making…” also needs a clearer clause structure. The request sentence beginning “I would like to request if…” is incomplete in its construction, and “Please let me the date prior” is missing a grammatical pattern such as “let me know.” Practise forming indirect requests and checking tense consistency, articles, and clause links.
