You started in your present job two years ago. You now feel it is important for your career development to move to a different department in the same company.

Write a letter to your manager. In your letter

  • suggest how the company would benefit from moving you to a different department
  • explain why you do not wish to leave the company

You do NOT need to write any addresses.

Begin your letter as follows:

Dear ....................................,

Student answer (Band 7.0)

Dear Mohan,

I am writing to formally request you to consider my application for letting me change my current department which is mechanical maintenance to mechanical quality department.

I have been working in the mechanical maintenance for last five years and throughout my tenure I have worked on almost every critical machinery, possessing deep knowledge in working mechanics, motion, subjected stress and strain on the machines.

With my current experience and developed expertise, I am highly optimistic with my intentions to now explore the maintenance quality department. Since I understand the functioning, material science and working parameters of the equipment I would be able to easily comprehend the quality control in early stages of critical parts.

Our organization has provided me a flourishing learning environment since the beginning of my career. In addition, the supportive allowances and work culture motivate me to keep working for the company. Hence, I have applied for the interdepartmental change.

I hope for your better understanding on the request and am looking forward hearing from you.

Kind regards,

Nishant Shrivastava

Task Achievement / Task Response — Band 7.0

The letter successfully addresses all three bullet points required by the prompt. You clearly explain your current expertise in mechanical maintenance, suggest how your transition to the quality department would benefit the company by leveraging your technical knowledge, and express your commitment to the organization. The tone is appropriate for a formal business letter. To reach a higher band, ensure that the connection between your current skills and the new department is even more explicit; for example, you could provide a specific example of a quality issue you have previously identified to strengthen your argument.

Coherence and Cohesion — Band 7.0

The letter is logically organized with a clear introduction, body paragraphs, and a closing. Each paragraph focuses on a distinct point, which aids readability. You use some cohesive devices such as 'In addition' and 'Hence' to link ideas. However, the flow could be improved by using a wider variety of linking words to connect sentences more fluidly. Some transitions feel slightly mechanical. Overall, the progression of ideas is clear, and the paragraphing is used effectively to structure the request.

Lexical Resource — Band 6.5

You demonstrate a good range of vocabulary related to your field, such as 'tenure', 'critical machinery', and 'material science'. This shows an ability to use topic-specific language effectively. There are some minor issues with collocation, such as 'letting me change' which is slightly informal for a formal request. Additionally, 'maintenance quality department' is a bit ambiguous. Using more precise professional terminology would elevate the response. The vocabulary is sufficient to convey your meaning clearly and accurately throughout the letter.

Grammatical Range and Accuracy — Band 6.5

You use a mix of simple and complex sentence structures. While the meaning is always clear, there are some grammatical slips, such as 'looking forward hearing from you' (should be 'looking forward to hearing from you') and 'the mechanical maintenance' (should be 'mechanical maintenance'). There is also a slight awkwardness in the opening sentence structure. Despite these errors, they do not impede communication. To improve, focus on preposition usage and ensuring consistent article usage when referring to departments.
