Student answer (Band 6.0)
Dear Fatima,
I hope this letter finds you in the bestof your health and spirits. I am writing this letter to let you know how happy I am to know that we will be meeting each other after such a long time. I want to thank you for deciding to stay with me and giving me a chance to take you around the city I so wish to explore with you.
However , I want to inform you that my manager has assigned a last minute task to me and I have to go to for site visit in the morning. Actually, the person who was about to visit the site tomorrow has fallen ill and manager has asked me to fill his place .But, I want to let you know that I have made all the possible arrangements for your pick up from the train station and that one of my trusted colleagues will pick you up from the train station and drop you to my appartment.
When you reach my apparment ,my next door neighbour Mrs.Khan of house number 202 will hand you over the keys of the appartment. She has a food catering business and I have ordered some of her delecious food items for your breakfast and lunch. She will hand over the food to you when you pick up the keys from her house.
I will be back by evening and I have already made a plan where to take you out for dinner. We will visit the newly opened mall in my vicinity and then we will plan what we will be doing over the weekend.
Looking forward to meeting you tomorrow.
Your cousin,
XYZ

Task Achievement / Task Response: Band 4.5
The letter is relevant and includes the three requested areas: arrangements for arrival, access to the house, and evening plans. You explain that a colleague will collect Fatima and that Mrs Khan will provide the keys, then say you will return in the evening and suggest dinner and a visit to the mall. However, the response does not fully satisfy the task because the route from the station to your house is not explained; arranging a pickup is not the same as giving directions. The reason you will be away is detailed, while the practical arrival information and evening suggestion are less developed. To strengthen the response, give clear directions or transport details and make the shared evening plan more specific.
Coherence and Cohesion: Band 6.5
The letter has a clear overall sequence: greeting and purpose, explanation of your absence, arrival arrangements, and plans for the evening. Paragraphing helps separate these stages, and links such as “However” and “When you reach” guide the reader through the information. The progression is generally easy to follow, though some connections are mechanical or unclear. For example, “However” does not strongly contrast with the preceding expression of excitement, and the colleague’s pickup and the neighbour’s key handover could be linked more explicitly so the arrival process is unmistakable. The final paragraph also moves quickly from dinner to the mall and weekend planning. Use more precise transitions and clarify how each arrangement follows the previous one.
Lexical Resource: Band 6.5
You use an adequate range for a personal letter, including phrases such as “trusted colleagues,” “food catering business,” and “newly opened mall.” These choices communicate the situation clearly, and the warm tone is appropriate. There are also attempts at more expressive language, such as “in the best of your health and spirits,” although this sounds unnatural in this context. Several spelling and word-choice slips—“bestof,” “appartment,” “delecious,” and “vicinity”—reduce accuracy, while “take you around the city I so wish to explore with you” is awkwardly phrased. Aim for natural collocations and check spelling carefully. More precise vocabulary for travel arrangements, such as the route or transport method, would also make the practical information clearer.
Grammatical Range and Accuracy: Band 6.0
The letter includes a useful mix of simple and complex forms. For instance, “the person who was about to visit the site tomorrow has fallen ill” uses a relative clause and present perfect appropriately, and “When you reach my apartment” introduces a time clause. Some grammatical and punctuation errors remain, but they rarely prevent understanding. Examples include “I have to go to for site visit,” which has an unnecessary preposition and needs an article, and “my manager has asked me to fill his place .But,” where spacing and sentence punctuation are faulty. There are also inconsistent spaces around commas and full stops. Review articles, prepositions, and sentence boundaries, while retaining the varied sentence structures you already attempt.
