Dear Sir or Madam,

Student answer (Band 7.5)

Dear Sir or Madam,

I am writing this letter to request you to look for my important papers that I mistakenly left at your hotel room. I visted Amritsar two days for an important business meeting. Therefore, I booked a room at your hotel to stay for two days.

During my stay I was in room 375 -C on the third floor. I attended a meeting with another party and signed agreement papers for our business. After I signed the contract, I came back to my room to rest and placed the file in the drawer beside my bed. The file which contains the paper is purple in color and had our company logo on it.

I request you to please instruct one of your staff member to look for this file in the room and send it to me by post as I require it on urgent basis. Please do not forget to cover the post service charges from my card as my card information was already provided at the reservation desk of your hotel. I would appreciate your assistance and cooperation on this matter.

Yours faithfully,

Harnoorpreet Kaur

Task Achievement / Task Response — Band 8.0

You have successfully addressed all three bullet points in the prompt. You clearly identified the location of the papers (room 375-C, in the bedside drawer), explained their importance (signed business agreement/contract), and provided clear instructions to the manager regarding their retrieval and postage. The tone is appropriate for a formal letter, and the purpose is clear from the outset. The response is well-focused and covers all requirements of the task effectively.

Coherence and Cohesion — Band 8.0

The letter is logically organized with a clear progression of ideas. Each paragraph serves a distinct purpose, moving from the reason for writing to the specific details of the lost item and finally to the requested action. You use cohesive devices such as 'Therefore', 'During my stay', and 'After I signed' to link your sentences effectively. The paragraphing is appropriate, and the flow of information is smooth, making the letter easy to follow throughout.

Lexical Resource — Band 6.5

You demonstrate an adequate range of vocabulary for this task. Phrases like 'mistakenly left', 'signed agreement papers', and 'appreciate your assistance' are used correctly. There are some minor inaccuracies, such as 'on urgent basis' (should be 'on an urgent basis') and 'post service charges' (should be 'postage charges'). While the vocabulary is functional and clear, incorporating a few more sophisticated collocations would elevate the score further. Overall, the language is precise enough to communicate your needs without any confusion.

Grammatical Range and Accuracy — Band 6.5

You use a mix of simple and complex sentence structures. Most sentences are clear and grammatically sound. However, there are a few minor errors, such as 'I visted Amritsar two days' (should be 'for two days') and 'one of your staff member' (should be 'staff members'). Additionally, there is a slight issue with article usage, such as 'in the room' versus 'in your room'. Despite these occasional slips, your control of grammar is generally good, and the meaning is never obscured.
