Student answer (Band 6.5)

Dear Sir

I am writing this letter to inform you about some important missing documents that I think I forgot at your hotel room where I checked-in 3 days before.

Actually, three days back on August 8th, I came to Toronto and stayed at your hotel in 306 room number around 1pm. As, I came there for a meeting so I brought my all important documents with me. After finishing up the meeting I kept the documents in the drawer safely which I forgot to carry upon leaving the room as I was running late for the airport to catch my flight.

However, these documents are very important for me because it includes my completion certificate of diploma and my bank documents which i cannot afford to lose. Moreover, I contacted with your staff members but I didn’t get any active response, so that’s why I wrote you a letter.

I want you to request that please check room once and if you find out my documents then kindly post it to me on my given address . Thank you for your cooperation.

Yours Sincerely

Task Achievement / Task Response — Band 7.0

The letter successfully addresses all three bullet points required by the prompt. You clearly identified the location of the papers (the drawer in room 306), explained their importance (diploma and bank documents), and provided a clear request for the manager to check the room and post them. The tone is generally appropriate for a formal letter, although the opening salutation 'Dear Sir' is slightly less standard than the suggested 'Dear Sir or Madam'. The ideas are well-developed and the purpose of the letter is immediately clear to the reader.

Coherence and Cohesion — Band 6.5

The letter is logically organized, with a clear progression from the introduction to the explanation and finally the request. Paragraphing is used to separate these distinct ideas, which helps the reader follow the narrative. However, the use of cohesive devices is somewhat mechanical. For instance, the transition 'However' at the start of the third paragraph is used slightly awkwardly, as the preceding paragraph does not present a contrast that requires such a strong contrastive marker. Improving the variety of linking words would enhance the flow.

Lexical Resource — Band 6.0

You have a sufficient range of vocabulary to convey your message clearly. Phrases like 'completion certificate of diploma' and 'cooperation' are appropriate for the context. There are some minor issues with collocation and word choice, such as 'active response' (a more natural choice would be 'helpful response' or 'satisfactory update') and 'I want you to request' (which is grammatically redundant; 'I would like to request' is better). The vocabulary is adequate for the task but lacks the precision and flexibility required for higher bands.

Grammatical Range and Accuracy — Band 6.0

The letter contains a mix of simple and complex sentence structures. While the meaning is always clear, there are several grammatical errors. For example, 'I think I forgot at your hotel room' is missing a preposition ('in'), and 'I brought my all important documents' should be 'all my important documents'. Additionally, 'I contacted with your staff' is incorrect; the verb 'contact' does not take a preposition. Despite these errors, the grammar does not impede communication, and the overall structure is functional.
