Student answer (Band 7.0)
Dear Sir or Madam,
I am Achin and I stayed at your hotel from 21st July to 25th July. During the checkout I forgot to collect a folder which had some important documents. I believe the file is the white closet and I had submitted the closet keys at the reception.
I travelled to Bangalore to collect my transcripts from the university. The folder has my passport and driving license too. Since I have plans to travel abroad for work, I need to submit those documents for verification purpose at the immigration department.
Would you be kind enough to look into this matter? I would like to suggest that you should immediately visit the room and collect the documents. Kindly keep them at a safe place, I will be sending my colleague in the evening to pick up the folder. In case the documents are not present in the closet then I would request you to check camera footage of 5th floor. Additionally, you can ask your cleaning staff if they have seen or taken the documents.
Hoping for a prompt action.
Yours faithfully,
Achin Pal

Task Achievement / Task Response — Band 7.5
You have successfully addressed all three bullet points in the prompt. You clearly identified the location of the documents, explained their importance regarding your immigration and travel plans, and provided specific instructions to the manager. The tone is appropriate for a formal letter. To reach a higher band, ensure that your explanations are slightly more nuanced; for example, you could have elaborated on the specific nature of the documents to add more weight to your request. However, the response is complete and fulfills the requirements of the task effectively.
Coherence and Cohesion — Band 7.0
The letter is logically organized with a clear progression of ideas. Each paragraph serves a distinct purpose, moving from the situation to the explanation and finally the request. You use cohesive devices such as 'Additionally' and 'In case' to link your thoughts. However, some transitions could be smoother; for instance, the jump between the importance of the documents and the request for the manager to check the room is a bit abrupt. Using more varied linking phrases would improve the flow and help you achieve a higher band.
Lexical Resource — Band 6.5
You demonstrate an adequate range of vocabulary for the task, using terms like 'verification purpose', 'immigration department', and 'camera footage' correctly. There are some minor issues with word choice, such as 'I believe the file is the white closet' (should be 'in the white closet') and 'Hoping for a prompt action' (which is slightly unnatural; 'I look forward to your prompt assistance' would be better). Overall, the vocabulary is sufficient to convey your meaning clearly, though it lacks the sophisticated collocation expected at the highest levels.
Grammatical Range and Accuracy — Band 6.5
You use a mix of simple and complex sentence structures, which is appropriate for this task. Most of your sentences are clear and error-free. There are a few minor grammatical slips, such as 'During the checkout I forgot' (missing 'my' or 'the') and 'keep them at a safe place' (should be 'in a safe place'). Punctuation is generally accurate, though the phrasing 'I would like to suggest that you should immediately visit' is slightly wordy. These errors do not impede communication, and your control over tense and structure is generally good.
