Write a letter to the manager of the hotel. In your letter
- say where you think you left the papers
- explain why they are so important
- tell the manager what you want him/her to do

Dear Sir or Madam,
I am writing this letter to inform you that our company organized an annual meeting at your hotel on 4th August from 11 in the morning till 2pm. Unfortunately, I forgot to collect the project papers which were placed under the rack of the podium stand. These were the papers for the upcoming project and moreover, that are very crucial for the company in terms of privacy as it contains confidential details.
Our annual goals were met and were discussed in the meeting, however, these papers includes the upcoming project information and the next meeting is scheduled on 12th August. I usually have a draft copy of all the project but this time I do not have any piece of information on my end.
Lastly, I request you to kindly check the conference room and the furniture used that day. Do inform and ask the employees working on that day about the lost file. I hope someone may have seen it and secured it.
