Dear Sir or Madam,

Student answer (Band 7.5)

Dear Sir,

I am writing to ask for you assistance in locating some important papers that I believe I accidentally left in your hotel during my recent stay.

My name is Darshit Chauhan and I stay your hotel from 1st to 3rd September in Room 306. I think I left the papers either on the desk room in my room or drawer beside the bed. They were inside a blue folder, which I forgotten to pack when I checked out in the morning of 5th September.

The documents are extremely important to me because the contain information related to my professional qualification. Replacing them would be difficult and time consuming and some of the original documents cannot easily obtained again.

I would be really grateful if you could ask your housekeeping staff to check the room carefully, particularly the desk, beside drawer and wardrobe. If the folder has been found, please contact me as soon as possible. I would be happy to arrange for a courier to collect it.

Thank you for your time and assistance. I look forward to hearing from you.

Yours faithfully,

Darshit

Task Achievement / Task Response — Band 8.0

The letter successfully addresses all three bullet points of the prompt. You clearly identified the location of the papers, explained their importance regarding your professional qualifications, and provided a clear request for the manager to assist in locating them. The tone is appropriate for a formal letter to a hotel manager. The information is well-developed, and the purpose of the letter is clear from the outset. You have fully satisfied the requirements of the task.

Coherence and Cohesion — Band 8.0

The letter is logically organized with a clear progression of ideas. Each paragraph serves a distinct purpose, moving from the introduction to the details of the lost items, the explanation of their importance, and finally the call to action. Cohesive devices such as 'particularly', 'if', and 'therefore' (implied) are used effectively. The paragraphing is appropriate, and the flow of information is smooth, making the letter easy to follow throughout.

Lexical Resource — Band 7.0

You demonstrate a good range of vocabulary appropriate for a formal business context, such as 'assisting in locating', 'professional qualification', and 'time-consuming'. There are some minor inaccuracies, such as 'desk room' (should be 'desk in my room') and 'beside drawer' (should be 'bedside drawer'). However, these do not impede communication. The vocabulary is sufficient to convey your meaning clearly and professionally.

Grammatical Range and Accuracy — Band 7.0

You use a mix of simple and complex sentence structures effectively. There are a few grammatical slips, such as 'I stay your hotel' (should be 'I stayed at your hotel') and 'the contain' (should be 'they contain'). Additionally, 'cannot easily obtained' should be 'cannot be easily obtained'. Despite these occasional errors, the majority of your sentences are error-free, and your meaning is always clear. The control of punctuation and formal register is generally good.
