Student answer (Band 6.5)

Dear Sir or Madam,

I am writing this letter to talk to you regarding the missing of my office revenue papers during my stay at the Grand Hotel, Chennai.

I came to Chennai on June 20th to attend the Global trade expo at the Convention center. For the course of the expo, I booked my accomdation at the Grand hotel from 20th to 25th of June. Upon arrival to Coimbatore, I found that the revenue bundle which i was carrying with me was missing. The bundle consisted of all the important and personal details of my company's employees which I was given on the trust of my employer. The papers were essential for the evaluation of the employee's promotion. I will be at the risk of losing my job if I am unable to find the documents.

Thereby, I request you to ask your housekeeping department staffs to run a through check in my room and the waiting area where I beleive to have lost them. If found, I appreciate your kindness to get the documents delievered to my office address which i will attach below. I hope you understand my situation and do the needful.

Yours sincerely,

John

Task Achievement / Task Response: Band 6.5

The response effectively covers all three bullet points required by the task instructions. The student clearly states where the papers might have been left, mentioning the room and the waiting area, explains the crucial importance of the documents relating to office revenue and employee promotions, and outlines the required action for the manager to check with housekeeping and forward the package. The tone is appropriate for a formal business letter, and the purpose is clear throughout the text. Although some details like the specific contents are slightly elaborated, all parts of the prompt are fully addressed, fitting the criteria for a well-rounded response that successfully communicates the writer's intent without any omissions.

Coherence and Cohesion: Band 6.5

The letter exhibits a clear and logical overall progression, moving smoothly from the context of the stay to the problem, the importance of the documents, and finally the requested action. Paragraphing is used appropriately to separate the introduction, the main body explaining the situation, and the concluding request. Cohesive devices such as 'Upon arrival to Coimbatore', 'Thereby', and referencing pronouns like 'The bundle' and 'The papers' are employed effectively to connect ideas, although minor mechanical transitions could be slightly more natural, placing this comfortably at a solid band score.

Lexical Resource: Band 6.0

The student demonstrates an adequate and generally appropriate range of vocabulary for the task. Words and phrases such as 'revenue papers', 'Convention center', 'evaluation', and 'housekeeping department' show a good grasp of topic-specific lection. There are, however, a few spelling and word-formation errors, such as 'accomdation' instead of 'accommodation', 'delievered' instead of 'delivered', and 'beleive' instead of 'believe'. Additionally, phrases like 'missing of my office revenue papers' are slightly unnatural compared to standard collocations like 'loss of my documents'. These minor lexical inaccuracies do not impede overall communication.

Grammatical Range and Accuracy: Band 6.0

The response features a satisfactory mix of simple and complex sentence structures, such as the use of time clauses ('Upon arrival to Coimbatore, I found that...') and conditional constructions. Grammatical control is generally good, though a few minor errors occur, such as preposition usage ('staffs' instead of 'staff', 'on the trust' instead of 'in the trust', and 'through check' instead of 'thorough check'). Punctuation is mostly accurate, and the majority of sentences are clear and grammatically sound, allowing the reader to follow the message without difficulty.
