Student answer (Band 6.0)

Dear Sir/Madam,

I hope this email reaches you well and sound. I am writing to notify you where i kept the papers. I am actually sorry for not handing over this efficiently to the team.

I Left the paper in the conference room by the fourth floor. If this inofmration is passed to a new staff member, the conference room is situated on the fourth flor by your third right. If you are using the elevator, it is more direct and easy for you to find but again if you are using the stairs, it may take you about 30minutes to the place.

The papers are so important because it comprises of the contract information for the oil and gas company we have been sending proposals to for the past eight months. Getting hold of it to the wrong hands may bring a tremendious problem to the company and that is the major reason why i am writing to you directly. I solidly trusth your knowledge and experience and i believe you will assign the right person to hold on the document.

I will be grateful if the individual assigned to hold on to the documents will be so deligent to handle with care while they deliver the papers to you when they can for your safekeeping.

Thank you so much for your understanding as i await your feeding as soon as possible

Yours Sincerely,

Precious

Task Achievement / Task Response: Band 6.5

The response successfully covers all three parts of the prompt, earning a solid rating. You clearly state where you believe the papers were left, mentioning the fourth-floor conference room, and you explain why they are important by highlighting the sensitive oil and gas contract information. Furthermore, you tell the manager what action to take by asking them to assign a reliable staff member to safeguard and deliver the documents. However, the response sits at this level because some ideas are slightly under-developed or expressed with minor confusion, such as the overly exaggerated time estimate regarding the stairs and the slightly unclear instructions about locating the room. To move towards higher bands, ensure every detail is fully elaborated and justified with greater clarity and realistic context.

Coherence and Cohesion: Band 6.0

The letter maintains a coherent overall arrangement with a recognisable beginning, middle, and end, following the standard layout for a formal request. Paragraphs are used to separate different thoughts, moving from the location of the documents to their importance and finally to the requested action. Nonetheless, cohesion is sometimes mechanical and referencing can occasionally be unclear, such as how ideas transition abruptly between sentences in the middle section. The logical progression is somewhat hindered by basic connective links. To achieve a higher score, you should employ a wider and more natural variety of cohesive devices to connect your ideas smoothly and ensure that referencing pronouns point clearly to their intended antecedents without causing ambiguity for the reader.

Lexical Resource: Band 5.5

You demonstrate an adequate range of vocabulary for the task, attempting some less common expressions such as 'safekeeping' and 'proposal'. However, there are notable limitations and inaccuracies in word choice, collocation, and spelling that hold the score at this level. Instances such as 'reaches you well and sound' (instead of safe and sound), 'comprises of' (comprises does not take 'of'), 'tremendious' (tremendous), 'trusth' (trust), and 'deligent' (diligent) reveal spelling and word-form errors. Additionally, phrases like 'await your feeding' instead of 'await your reply' impede natural communication. To improve your lexical score, you must focus on accurate word formation, precise collocations, and careful proofreading to eliminate spelling mistakes.

Grammatical Range and Accuracy: Band 5.5

The response features a mix of simple and complex sentence forms, demonstrating your ability to construct multi-clause sentences such as conditional structures ('If you are using the elevator...'). However, there are several errors in grammar, articles, and prepositions that prevent a higher rating. For example, you wrote 'Left the paper' with a lowercase letter and missing article, 'inofmration', 'on the fourth flor', and 'hold on to the documents' where the phrasing is slightly awkward grammatically. Punctuation and pronoun capitalization are also inconsistent, such as the lowercase 'i'. These errors do not entirely impede communication, but they occur frequently enough to reflect this level. To reach higher bands, you need to exercise greater control over sentence structures, prepositions, and basic punctuation rules.
