Student answer (Band 6.5)

Dear Sir or Madam,

I am writing to request your assistance to check the official documents in your hotel which I left on my recent visit at your hotel.

I visited your hotel last week for two days stay for business purpose. Unfortunately, I left my black coloured bag

in the cupboard. This bag includes my official documents which are really essential for my next project, and some personal belongings, such as a driving license and some cash.

Although the bag is not expensive, the belongings inside my bag are very valuable and having professional value. I need this documemts for my upcoming projects as I need to see the project for next meeting.

It would be really grateful if you could assist me to provide this documents as early as possible. It would also appreciated if you check with your cleanng staff and lost and found deparment, and please feel free to call me on my personal cell or send an email.

Thank you for your assistance, and I look forward to hearing from you regarding my personal belongings.

Yours faithfully,

Gaganpreet Kaur

Task Achievement / Task Response: Band 7.0

The letter addresses all three requirements: you identify the likely location (“in the cupboard”), explain that the papers are needed for upcoming projects and a meeting, and ask the manager to check with staff and the lost-and-found department. The purpose is clear from the opening, and the polite request and closing suit a formal letter. The explanation of importance is relevant, but it could be more fully developed: clarify what the documents contain or why they are essential to the project. Also make the requested action more precise, such as asking the hotel to confirm whether the bag has been found and arrange its return. These details would make the response more fully supported.

Coherence and Cohesion: Band 6.5

The information is arranged in a sensible sequence: purpose, visit and likely location, importance, then requested action and closing. Paragraphing helps distinguish these stages, and expressions such as “Unfortunately” and “Although” guide the reader through the message. The overall progression is clear, though some links and references are less smooth. For example, “this documents” and “the belongings inside my bag” make the references awkward, while the request to provide the documents is followed by several actions in one long sentence. Separate the requests and use clear references such as “the bag” and “these documents.” This would retain the coherent structure while making the connections more natural and precise.

Lexical Resource: Band 6.0

You use an adequate range for a formal hotel enquiry, including “official documents,” “essential,” “personal belongings,” and “lost and found department.” These choices communicate the situation, and the tone is generally appropriate. However, some word combinations are inaccurate or unnatural, such as “two days stay,” “for business purpose,” “having professional value,” and “provide this documents.” There are also spelling errors in “documemts,” “cleanng,” and “deparment.” These do not prevent understanding, but they limit the precision and control of the vocabulary. Aim for natural collocations and proofread carefully; for example, say “a two-day business stay” and “return the documents.”

Grammatical Range and Accuracy: Band 6.0

The letter includes both simple sentences and more complex forms, including the contrast introduced by “Although” and the conditional request “It would be really grateful if…”. Meaning remains clear, but some grammatical errors occur in sentence construction, articles, agreement, and verb forms. For instance, “I visited your hotel last week for two days stay” needs a correctly formed noun phrase, and “It would also appreciated” is missing a passive verb form. In “I need this documents,” the demonstrative does not agree with the plural noun. Practise checking each sentence for a complete verb phrase and matching singular or plural forms. More accurate control of these patterns would strengthen the otherwise understandable message.
