Dear Sir or Madam,

Student answer (Band 7.5)

Dear Sir/Madam,

I am writing to inform you that I accidently left my important documents file in your hotel during my recent stay.

Last week, I stayed for two nights in your hotel in room 203 on the second floor. I visited this hotel as I needed to attend an important meeting with a client related to business deal. I kept my file in the drawer beside bed, and I think I forgot it there while checking out.

The documents are really essential to me because they contain essential data of the company. Also, I needed to submit all those documents to company's manager for further review and processing. Without those documents the company can be in trouble and also experience a serious financial loss.

I would appreciate it if the documents could be checked by the hotel's cleaning staff thoroughly before booking the room for another guest. It would also be helpful to know if they are found and send to me by express post on the enclosed mailing address. I will be happy to pay all the postage costs.

Thank you in advance for your time and consideration. I look forward to hearing from you.

Yours faithfully,

Soni.

Task Achievement / Task Response: Band 9.0

The letter fully addresses all three instructions with clear, relevant detail. You identify a precise likely location—the drawer beside the bed in room 203—and explain the papers’ importance by linking them to company data, managerial review, and possible financial loss. Your request is also specific: have the cleaning staff check before the room is booked again, then send the papers by express post, with you covering the cost. The formal opening and closing suit the situation. The explanation of the consequences is persuasive and the requested action is unambiguous, so the task is handled completely and the ideas are fully developed.

Coherence and Cohesion: Band 8.0

The information is arranged in a clear, effective sequence: you state the purpose, describe your stay and where the file may be, explain its significance, and then make your request. Paragraphing supports this progression, and linking expressions such as “Also,” “Without those documents,” and “It would also be helpful” make the relationships between ideas easy to follow. The closing is appropriately placed. To make the flow even more seamless, you could vary the transitions slightly and connect the consequences more directly to the request, but cohesion is already well managed and the reader can follow the letter without effort.

Lexical Resource: Band 6.5

You use an adequate range of vocabulary for a formal request, including “essential,” “further review and processing,” “financial loss,” and “express post.” These choices communicate the situation clearly, and the tone is generally appropriate. Some word choices and collocations are less natural or repetitive: “important documents file” could be more concise, “essential” is repeated, and “company’s manager” is not the most idiomatic phrasing. There is also a spelling error in “accidently.” Greater precision in these phrases, alongside more varied wording for the papers and their importance, would add flexibility and polish while preserving your clear meaning.

Grammatical Range and Accuracy: Band 7.0

The letter includes a useful mix of simple and more complex structures, such as “I would appreciate it if the documents could be checked…” and “because they contain essential data…”. Many sentences are clear and correctly formed, and the conditional request is handled well. A few grammatical issues remain: “beside bed” needs a determiner (“beside the bed”), “submit all those documents to company’s manager” needs an article or possessive determiner, and “if they are found and send to me” should use a parallel passive form (“found and sent”). These do not obscure your meaning, but checking articles and maintaining consistent verb forms in coordinated clauses would improve accuracy.
