Dear Sir or Madam,
Student answer (Band 7.0)
Dear Sir,
I am writing to request for your help and I hope you could really assit me in this matter. I wanted to let you know that I visited your hotel on 23 August and during my visit, I stayed 4 days at your hotel.
On 27 Auggust, when I was about to checkout, I received an important phone call and beacuse of that I forgot to double check my belongings. When I reached home, one of my employee emailed me, requesting for his T4 tax return to file his taxes. I checked my bag to find out the file containing all the tax returns, But I didn't find it any where. After thinking for some time, I relised that I forgot the file in your hotel room, where I stayed.
I really need that file, as it contains employees personal information. The last date for filing tax returns is 31 August, so I need it before that date.
I would really appreciate it if you could please take out that file from the white closet or room number 8 and keep it at some safe space. I can come to hotel tomorrow 29 August or can send one of my employee to pick it up from you.
Thank you for your time and assistance. I look forward to your prompt response so that I may arrange for pickup.
Yours faithfully,
Rama Verma

Task Achievement / Task Response: Band 8.5
The letter covers all three required points clearly and appropriately. You identify the likely location as the hotel room, specifying “the white closet or room number 8”; explain the urgency by noting that the papers contain employees’ personal information and the filing deadline is 31 August; and make a practical request for the manager to secure the file and arrange collection. The background about the phone call and the employee’s request also helps explain how you discovered the loss. These details make the purpose and desired action clear. To make the response even more complete, state the room location with certainty if you know it, rather than offering two possibilities, and clarify exactly how the manager should contact you to confirm the papers have been found.
Coherence and Cohesion: Band 7.5
The information follows a clear sequence: your stay and checkout, discovery of the missing file, its importance, and the action you want the manager to take. Paragraphing supports this progression, and links such as “When I reached home,” “After thinking for some time,” and “so” help the reader follow the explanation. The closing also returns naturally to the request for a prompt response. Some connections could be more concise and precise: the opening repeats the fact that you visited and stayed at the hotel, while “the white closet or room number 8” makes the location reference uncertain. Streamlining the background and separating the room number from the storage location would make the organisation feel more controlled and the references easier to follow.
Lexical Resource: Band 6.0
You use an adequate range of vocabulary for the purpose, including “double check my belongings,” “file containing all the tax returns,” “employees’ personal information,” and “prompt response.” These expressions communicate the situation and urgency effectively. There are, however, several spelling errors, including “assit,” “Auggust,” “beacuse,” and “relised,” and some word choices or collocations are less natural, such as “take out that file” and “some safe space.” These do not prevent understanding, but they limit the precision and control expected at a higher level. Proofread spelling carefully and choose more idiomatic expressions for retrieving and securing the papers, such as “locate the file” and “keep it in a secure place.”
Grammatical Range and Accuracy: Band 6.5
The letter includes a useful mix of simple and more complex structures, for example the time clause “When I reached home” and the polite conditional request “I would really appreciate it if you could…”. Meaning remains clear throughout. Some grammatical errors persist, however. In “I am writing to request for your help,” the verb pattern should be “request your help”; “I stayed 4 days” needs a preposition (“for four days”); and “one of my employee” requires a plural noun. The sentence “I can come to hotel tomorrow … or can send one of my employee” also needs an article and a repeated subject for parallel structure. Review verb patterns, articles, plurals, and sentence parallelism to make the otherwise clear writing more consistently accurate.
