Student answer (Band 6.5)

Dear Sir,

I hope you are doing well. I am writing this letter to tell you that the printer which I had bought from your shop is not working properly. It takes a lot of time to start and quality of the print is also not good. It gives very blurr print of documents and images.

Moreover, I have to to take the prints of important documents regularly as its the part of my job. Sometimes I have to prepare important files of documents and send it to my branch manager but this printer is not helpful in doing this. Due to which I have to manage it from some printer shop and it is not cost effective.

Additionally, I request you to ask skilled person of your company to check its functionality. If its not repairable than replace it immediately. I hope you will look into my complaint and try to resolve this issue as soon as possible.

Yours sincerely,

X.Y.Z.

Task Achievement / Task Response: Band 7.5

The letter addresses all three required points clearly. You identify the printer’s slow start-up and blurred output, explain that you need it for preparing and sending documents to your branch manager, and request an inspection followed by replacement if repair is not possible. These details make the complaint relevant and give the company a clear response to consider. The impact on your work is also supported by explaining that you must use an outside print shop, which is not cost-effective. To make the request even more complete and persuasive, specify practical details such as when the printer was purchased or ask for a particular remedy or response timeframe. The purpose and tone remain clear throughout.

Coherence and Cohesion: Band 7.0

The information follows a clear progression: you introduce the fault, describe its effect on your work, and then state what you want the company to do. Paragraphing supports this sequence, and linking expressions such as “Moreover,” “Additionally,” and “Due to which” help connect the points. The letter is easy to follow overall. Some transitions feel slightly mechanical, however, and “Due to which” does not connect smoothly to the preceding sentence. You could improve flow by combining the cause and consequence directly—for example, explain that because the printer cannot produce clear documents, you have to use a local print shop. A more natural progression between the requested inspection and possible replacement would also strengthen cohesion.

Lexical Resource: Band 6.0

Your vocabulary is adequate for explaining the complaint, and phrases such as “not working properly,” “important documents,” and “not cost effective” communicate the main points. You also use relevant terms including “printer,” “print,” and “functionality.” However, some word choices and collocations are imprecise or repetitive: “blurr print” should be “blurred prints,” while “manage it from some printer shop” does not naturally express using an outside service. “Quality of the print is also not good” is understandable but general. Aim for more precise complaint language, such as “produce unclear copies” or “use a local printing service.” Check spelling and word forms carefully, as these errors are noticeable even though the meaning remains clear.

Grammatical Range and Accuracy: Band 6.0

You use a mix of simple and more complex sentence forms, including the conditional request, “If its not repairable than replace it immediately,” and a reason clause explaining why you need the printer. The message remains understandable, but some grammatical errors reduce accuracy. For example, “I have to to take” repeats the infinitive marker, and “its the part of my job” needs the contraction “it’s” and an article: “it’s part of my job.” In “If its not repairable than replace it,” use “it’s” and “then,” and make the request a complete, polite sentence. Practise checking contractions, articles, and sentence connections; greater control of these forms would make the letter more polished.
