Student answer (Band 7.0)

Dear Mr. Kumar,

I am writing this letter to suggest some necessary improvements on the reception area.

As you are aware of complaints that we are receiving every day related to the sitting area and using washrooms. As, our waiting area is very small and sometimes, it has becoming very challenging for us to fit a large number of individuals at a same time. Moreover, restrooms are dirty and the foul smell always annoys visitors, leaving a negative feedback for us.

Reception area is extremely important for our comapny because it gives the first impression to the newcomers and maintaing the area is our first priority.

I would like to give some ideas for the improvement of the reception area, as waiting area needs to be more spacious to give privacy to everyone and we can hire some more cleaners to ensure the proper cleaning of restrooms.

I look forward to hearing from you.

Best regards,

Mandeep

Task Achievement / Task Response — Band 7.0

The response addresses all three bullet points of the prompt: describing complaints, explaining the importance of the reception area, and suggesting improvements. The tone is appropriate for a formal letter to a manager. However, the development of ideas is somewhat limited. For instance, the suggestions for improvement are quite brief and could be expanded with more specific details or a more professional justification. While the task is fully addressed, the depth of the content is at a basic level, which prevents it from reaching a higher band. Overall, the response is clear and relevant to the task requirements.

Coherence and Cohesion — Band 7.5

The letter follows a logical structure with a clear introduction, body paragraphs, and a closing. Paragraphing is used appropriately to separate the different points requested in the prompt. Cohesive devices such as 'Moreover', 'As you are aware', and 'I would like to' are used to link ideas, although the flow is occasionally slightly mechanical. The progression of ideas is easy to follow, and the purpose of the letter is clear from the beginning. To improve, you could use a wider variety of linking words to create a more natural and sophisticated flow between sentences.

Lexical Resource — Band 6.5

The vocabulary is adequate for the task, allowing the message to be conveyed clearly. You use some relevant terms like 'reception area', 'newcomers', and 'privacy'. However, there are some minor errors in word choice and collocation, such as 'leaving a negative feedback' (feedback is uncountable) and 'maintaing' (spelling error). The range of vocabulary is somewhat limited and relies on fairly common expressions. To achieve a higher score, try to incorporate more precise or sophisticated vocabulary related to business environments, such as 'professional image' instead of 'first impression' or 'sanitation' instead of 'cleaning'.

Grammatical Range and Accuracy — Band 6.5

The letter contains a mix of simple and complex sentence structures. There are several grammatical errors, such as 'it has becoming' (incorrect tense) and 'at a same time' (incorrect article usage). Additionally, the sentence 'As you are aware of complaints that we are receiving...' is a fragment or poorly structured. While these errors do not impede communication, they occur frequently enough to affect the overall accuracy. To improve, focus on subject-verb agreement and consistent tense usage. Increasing the variety of complex structures while ensuring they are error-free would also help raise your score.
