Student answer (Band 6.5)

Dear Sir,

I am writing this letter to suggest you few ways that will be useful for us to improve our reception area where visitors to our company arrive.

Over last couple of weeks we have recieved many complaints regarding the reception area where visitors arrive. One of the key complaint was it gets too crowded in the afternoon when the employees have their lunch in the reception area due to the shortage of tables in cafeteria. I feel keeping our reception area presentable is important as it affects our company's reputation, if we have client's coming in the afternoon seeing the reception area crowded will affect our credibility therefore we must pay close attention to this matter and increase our cafeteria space and add more tables so that our employees won't use the reception area for having lunch in the afternoon and this would benefit us as well as our employees.

I believe you'll consider my suggestion and inform higher authorities so that they can take required actions.

Yours sincerely,

Sarish

Task Achievement / Task Response — Band 7.0

You have addressed all three bullet points required by the task: describing the complaints, explaining the importance of the reception area, and suggesting improvements. The tone is appropriate for a formal letter to a manager. However, the development of ideas is somewhat limited. For instance, while you mention the reception area is important for the company's reputation, this could be expanded further to explain how it impacts client trust or first impressions. The suggestion to expand the cafeteria is relevant, but the letter would benefit from a more structured approach with distinct paragraphs for each requirement to ensure the reader can follow your points easily.

Coherence and Cohesion — Band 6.5

The letter is generally coherent, but the structure is quite compressed. You have essentially grouped all your points into one large paragraph. Using clear paragraph breaks for each bullet point would significantly improve the logical flow and readability. While you use some cohesive devices like 'therefore' and 'as well as', the transitions between ideas feel a bit mechanical. To reach a higher band, ensure that each paragraph has a clear topic sentence and that you use a wider variety of linking words to connect your arguments more fluidly.

Lexical Resource — Band 6.5

Your vocabulary is adequate for the task and allows you to communicate your message clearly. You use some relevant business-related terms such as 'credibility', 'reputation', and 'higher authorities'. However, there are some minor inaccuracies in word choice and collocation, such as 'One of the key complaint' (should be 'complaints') and 'suggest you few ways' (should be 'suggest a few ways'). To improve, try to incorporate more sophisticated collocations and ensure subject-verb agreement and pluralization are handled with greater precision.

Grammatical Range and Accuracy — Band 6.5

You demonstrate a mix of simple and complex sentence structures. There are several grammatical errors that occur throughout the text, such as missing articles ('in cafeteria' should be 'in the cafeteria'), punctuation issues (a run-on sentence in the second paragraph), and minor errors in verb usage ('client's coming' should be 'clients coming'). While these errors do not impede communication, they are frequent enough to prevent a higher score. Focusing on sentence boundary punctuation and consistent article usage will help improve your accuracy.
