Student answer (Band 6.5)

Dear Manager,

I am writing this letter to highlight the concerning issue faced by the visitors in our company. The main complaints I have received till now is about the reception area. The area is very small and it becomes congested when many visitors arrive at the same time. Furthermore, many visitors complained of a long waiting time.

The reception area is important as visitors can get all the required information they want about the company and its services.

I want to give some suggestions to improve the reception area. We should make the area spacious to overcome the congestion. In addition to that, there should be more than one receptionist to deal with the visitors. It will probably decrease the waiting time of the visitors.

Task Achievement / Task Response — Band 5.5

You have addressed all three bullet points in the prompt: describing complaints, explaining the importance of the area, and suggesting improvements. However, the response is significantly under the 150-word minimum requirement, which limits the development of your ideas. For instance, your suggestions for improvement are quite brief. To achieve a higher band, you should expand on your points by providing more detail or examples. For example, instead of just saying 'make the area spacious,' you could suggest specific furniture layouts or adding amenities like a coffee station or reading materials to enhance the visitor experience.

Coherence and Cohesion — Band 6.5

The letter follows a logical structure, with each paragraph focusing on a specific aspect of the task. You use basic cohesive devices such as 'Furthermore' and 'In addition to that' to link your ideas. However, the progression of ideas is somewhat mechanical, and the overall length prevents a more sophisticated flow. To improve, try to vary your linking words and ensure that your sentences are connected more fluidly. The paragraphing is appropriate for a formal letter, which helps the reader follow your argument clearly.

Lexical Resource — Band 6.5

Your vocabulary is adequate for the task and conveys your meaning clearly. You use relevant terms like 'congested,' 'reception area,' and 'services.' However, the range is somewhat limited and repetitive. To reach a higher band, you should aim to incorporate more precise or 'less common' vocabulary. For example, instead of 'make the area spacious,' you could use 'expand the floor plan' or 'redesign the layout.' Additionally, ensure you use collocations correctly; for instance, 'highlight the concerning issue' is acceptable, but 'address the concerns raised by visitors' would sound more professional.

Grammatical Range and Accuracy — Band 6.5

You demonstrate a mix of simple and complex sentence structures, and your meaning is generally clear. There are a few minor grammatical errors, such as 'The main complaints I have received till now is,' where the verb 'is' should be 'are' to agree with the plural 'complaints.' Additionally, 'I want to give some suggestions' is a bit informal; 'I would like to propose some improvements' would be more appropriate for a letter to a manager. Your control of punctuation is generally good, and your errors do not impede communication.
