Dear Mr Kapoor,

I hope you are doing well. I am writing this letter to provide my suggestions regarding how to improve the reception area in your company.

Recently, a number of visitors of your company express their negative experience with reception area. Such as, it create problems during peak hours for the clients, as they have to wait for a long time in a queue due to availability of one receptionist. Also, they have complained about uncomfortable seating arrangements and lack of proper air conditioning.

Reception is one of the important area where clients get entry in the company and access you to build first impression on them. Therefore, tidy, well organised and spacious reception area create a positive and strong image of your company on your visitors and build good relationships.

In order to improve the reception area, I suggest you to add more comfortable chairs, bright lights and proper air condition systems to provide them convenience and comfort during their visit. Moreover, hiring another receptions will significantly save their important time during inquiry and guide them properly while they get stuck in problems.

I hope my suggestions will be helpful to you for dealing with reception problems, create professional image among the visitors and gain popularity. I look forward to your prompt response in this matter.
