There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Dear Smith,

I am writing this to address you regarding complains which we received based on the reception area.

Firstly, Many mentioned that, there are insufficient chairs and sitting room for one to wait and clarify their concerns. Consequently, the reception area gets crowded and creates lot of chaos and noisy. Moreover, there is only one receptionist during the peak hours to address most of the queries. In result, many clients return back without being answered.

As you are aware, reception is primary area contact for the customers to reach our organisation. Due to above inconvenience we intend to lose various clients on daily bases, which is huge financial loose to the company.

Finally, to surmount all the obstacles, more chairs need to be arranged while expending the sitting area merging with discussion room on the left side of reception area. Furthermore, it is highly advisable if you can hire additional receptionist to mitigate the current issues.
