Student answer (Band 7.0)

Dear Sir,

I am writing you regarding the complaints that have been made about the reception area. Several visitors have complained that the reception is not appropriate according to the company. There is no proper lighting, no air conditioning and also the receptionist is not working properly. She is always on the phone and not paying attention to the clients, because of that we are losing customers.

Reception area is the first place where a client enter and they wait for their appointments. It's like a first impression of the organisation on the visitors.

There are some things which I want to suggest for improvement. First, we need to fix the lightings and air conditioner. Additionally, we want a person on the reception, who can take responsibility and handle visitors properly. Furthermore, there should be clear signs for the different rooms at the front desk.

I request you to look into the matter and do something about it to improve company's reputation.

Thank you

Anita

Task Achievement / Task Response — Band 7.5

You have addressed all three bullet points in the prompt: describing the complaints, explaining the importance of the reception area, and suggesting improvements. The tone is appropriate for a formal letter to a manager. However, the development of your ideas is somewhat brief. For instance, while you mention the receptionist is not working properly, providing a more specific example of how this affects visitors would have strengthened your argument. Overall, the response is clear and fulfills the requirements of the task effectively.

Coherence and Cohesion — Band 7.5

The letter is logically organized into clear paragraphs, each focusing on a specific aspect of the prompt. You use basic cohesive devices such as 'First', 'Additionally', and 'Furthermore' to guide the reader through your suggestions. While the flow is generally smooth, some transitions between sentences could be more sophisticated to improve the overall cohesion. For example, the connection between the second and third paragraphs could be tightened to create a more seamless progression of ideas. Nevertheless, the paragraphing is appropriate and the message is easy to follow.

Lexical Resource — Band 6.5

You demonstrate an adequate range of vocabulary for this task, using terms like 'reputation', 'appointments', and 'responsibility'. There are some minor issues with word choice, such as 'not appropriate according to the company', which is slightly unnatural. Additionally, 'fix the lightings' is a common error; 'lighting' is an uncountable noun. While your vocabulary is sufficient to convey your meaning clearly, incorporating more precise collocations or less common lexical items would help you reach a higher band score. Your spelling is accurate throughout the letter.

Grammatical Range and Accuracy — Band 6.5

You use a mix of simple and complex sentence structures. There are some grammatical slips, such as 'I am writing you regarding' (should be 'writing to you') and 'a person on the reception' (should be 'at reception'). The sentence 'Reception area is the first place...' is missing an article ('The reception area'). Despite these errors, your meaning is never obscured, and the grammar is generally functional. To improve, try to vary your sentence structure further and pay closer attention to article usage and prepositional phrases.
