Student answer (Band 8.0)
Dear Mr. Patel,
I hope you are doing well.
I am writing this letter regarding multiple complaints about our reception area from visitors when they arrive at our company. Therefore, we have to take some action on this matter.
First and foremost, they complain about the chair and area, which they found uncomfortable and crowded. Secondly, they found the lighting was not working properly, and some are very dim. Lastly, our reception staff were absent from their place, and there was no one to guide them.
I would say that this concern we have to take very seriously because the reception area is the most important place where our company can serve the customer in the first phase; if we do not, we will reduce our company's reputation.
I would like to recommend some changes for instance, we can put comfortable chairs and a sofa for sitting, install some bright lights, and try to change the interior of the reception hall. Additionally, we have to put well-skilled staff to provide excellent customer service and give a welcoming experience.
I hope you will take some action on my prompt response to this pivotal matter as soon as possible.
Yours sincerely,
Harshil Trivedi

Task Achievement / Task Response — Band 8.5
The response fully addresses all three bullet points of the prompt. You clearly describe the complaints regarding the furniture, lighting, and staff availability. You also explain the importance of the reception area in maintaining the company's reputation and provide specific, actionable suggestions for improvement, such as upgrading furniture and ensuring staff presence. The tone is appropriate for a formal letter to a manager, and the purpose is clear throughout. The ideas are well-developed and relevant to the task requirements, demonstrating a solid understanding of the prompt.
Coherence and Cohesion — Band 8.0
The letter is logically organized with a clear introduction, body paragraphs, and a formal conclusion. You use cohesive devices such as 'First and foremost', 'Secondly', 'Lastly', and 'Additionally' to guide the reader through your points. Paragraphing is used effectively to separate the description of complaints from the recommendations. While some transitions are slightly mechanical, the overall progression of ideas is smooth and easy to follow. The relationship between the problems and the proposed solutions is clearly established, ensuring the letter remains coherent from start to finish.
Lexical Resource — Band 7.0
You demonstrate an adequate range of vocabulary for the task, using terms like 'pivotal matter', 'reputation', and 'well-skilled'. There are some minor issues with word choice, such as 'take some action on this matter' (better: 'address this matter') and 'put well-skilled staff' (better: 'employ' or 'assign'). However, these do not impede communication. To reach a higher band, try to incorporate more precise collocations and avoid repetitive phrasing. Overall, the vocabulary is sufficient to convey your message clearly and professionally.
Grammatical Range and Accuracy — Band 7.5
The letter contains a mix of simple and complex sentence structures. You demonstrate good control over basic grammar, though there are occasional errors, such as 'this concern we have to take very seriously' (word order) and 'some are very dim' (referring to lights, but the subject is slightly ambiguous). Punctuation is generally accurate, and the formal tone is maintained. While there are some minor slips, the majority of your sentences are error-free, and your meaning is always clear. Increasing the variety of complex sentence structures would further improve your score.
