There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Dear John,

The purpose of my writing today is to inform you about frequent complaints from visitors at reception area. I wanted to bring these recent instances in your notice to work upon it.

The most common complaint that I have been receiving is the dirty washrooms, it looks like cleaning staff is less in number and they keep juggling between different floors. Additionally, the air conditioners ducts are not controlled properly around reception area for that I keep calling the staff for changing the temperature and mostly they are unavailable.

Reception area is the first impression of an organization for an outsider and one has rightly said "first impression is the last impression". It gives the glance of the company ethics and its' management.

I want to add some suggestions for these lodged complaints, we need to hire more cleaning staff. For these air conditioner ducts, some automatic settings need to be updated.
