Student answer (Band 7.0)
Dear Mr. Dhaliwal,
I am writing this letter to express my thoughts regarding of the reception area. Although the entire place has been recently re-built, I still think, there is a scope of improvement in some amenities.
Last month, few visitors to our firm complained about the slow system. Since the last system update, this situation occur often, which collapse the whole functioning of our organisation. What’s more, language barrier is another drawback. The sign boards and direction boards at reception are all in Hindi Language, however the South Indians and foreign clients face huge issues following the writing on the boards due to language incomprehension.
Furthermore, it is very evident that reception is an integral part of a company. Not only it is source of inquiries and complains but it also acts as a first impression of the firm on the guests. Hence, the facilities at reception should be top-notch to have a positive reputation in the market.
Given the circumstances, I recommend you to update our system as soon as possible for the smooth operation of inquiries and other information. Along with that, new bulletin boards should also be introduced to ease the work of visitors.
I hope my suggestions will assist you in resolving the complaints.
Yours Sincerely,
Komal

| Criterion | Band |
|---|---|

Task Achievement / Task Response — Band 7.5
You have successfully addressed all three bullet points in the prompt. You described the complaints regarding the slow system and language barriers, explained the importance of the reception area as a 'first impression', and provided clear suggestions for improvement. The tone is appropriate for a formal letter to a manager. The ideas are relevant and well-developed, ensuring the reader understands the context and the proposed solutions. To reach a higher band, ensure that all parts are developed with equal depth; for instance, the suggestion regarding bulletin boards could be slightly more detailed to show how they would specifically solve the language barrier issue.
Coherence and Cohesion — Band 7.5
The letter is logically organised with a clear introduction, body paragraphs, and a conclusion. You have used cohesive devices such as 'Furthermore', 'Not only... but also', and 'Given the circumstances' to link your ideas effectively. Paragraphing is used appropriately to separate the different requirements of the task. The progression of ideas is smooth, moving from the problem to the importance of the area and finally to the solutions. The referencing is generally clear, though some minor improvements in the flow between sentences could make the text feel more natural and less mechanical.
Lexical Resource — Band 6.5
You demonstrate an adequate range of vocabulary for the task. Phrases like 'integral part', 'top-notch', and 'positive reputation' are used effectively. However, there are some minor inaccuracies in word choice and collocation, such as 'regarding of' (should be 'regarding') and 'language incomprehension' (which is slightly awkward; 'language barrier' is more natural). While you attempt to use more sophisticated vocabulary, some errors persist. To improve, focus on using collocations more accurately and ensuring that prepositions are used correctly with your chosen verbs and nouns.
Grammatical Range and Accuracy — Band 6.5
You use a mix of simple and complex sentence structures. There are some grammatical errors, such as 'this situation occur often' (should be 'occurs') and 'which collapse the whole functioning' (should be 'which collapses'). Additionally, 'few visitors' should be 'a few visitors' to convey the intended meaning. While these errors are noticeable, they do not impede communication. You have a good grasp of formal sentence construction, but you need to pay closer attention to subject-verb agreement and article usage to achieve a higher band score.
