There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Dear Mr.James,

I am writing this letter in response to your request for suggestions on how we can improve our company’s reception area, in light of recent feedback’s received from our visitors.

Many clients have complained about the long wait times. And also a lack of comfortable seating. Furthermore, a few visitors complained about the staff that they often appears to be overwhelmed, which made the visitors feeling unwelcome or rushed.Some of them also complained about the environment that our reception area is dirty. They see the spilled water on the floor and the staff takes time to sweep it off. The staff is not that vigilant and seems to be tired of working and delays the work.

As you know, the reception area is vital because it forms the first impression of our company. It sets the tome for our professional relationships and serves as a direct reflection of our brand value and attention to the client care. The reception area is the main part of our company that would attract the clients.

To resolve all these issues, i’d suggest that we need to upgrade our interior, having comfortable sofa seatings. Also introducing a self check in kiosk making it more modern and attractive to customers. It would result in reduced waiting times.This would reduce the burden on our receptionist and they will focus more on welcoming the guests warmly. Additionally, we need to train our staff so they can stay vigilant and do they work on time and making the environment more comfortable for the guests.
