Student answer (Band 6.5)

Dear Rishabh,

I hope you are doing well. I am writing this to offer my advice about how the reception service could be improved at our immigration office.

Recently, many clients has complained about long waiting period at our reception desk. Most of our customers are French speakers. They find it difficult to conversate in English language with our receptionist.

The reception area is important as it is the starting point of every process. Reception staff directs every client to the appropriate department. Therefore, a prompt action should be taken to solve these issues. Otherwise, it could leads to reduction in the number of our customers.

We can appoint an additional staff member for the reception area to reduce the workload. We should hire someone who is bilingual and proficient in French language as well along with English. Additionally, we can introduce a system in which clients need to book an appointment before arrival at our office. It will save their time.

I hope you would like my suggestion.

Regards,

Iqbal.

Task Achievement / Task Response — Band 7.0

You have successfully addressed all three bullet points in the prompt. You clearly described the complaints regarding waiting times and language barriers, explained the importance of the reception area as the 'starting point' of the process, and provided two logical suggestions for improvement. The tone is appropriate for a letter to a manager. To reach a higher band, you could expand slightly more on the impact of these improvements, perhaps by explaining how a bilingual receptionist would specifically enhance the client experience beyond just communication, which would further develop your ideas.

Coherence and Cohesion — Band 7.0

The letter is logically organized with a clear progression of ideas. Each paragraph focuses on a specific aspect of the task, which makes the letter easy to follow. You use some cohesive devices such as 'Therefore', 'Otherwise', and 'Additionally' to link your sentences. However, the flow could be improved by using a wider variety of linking words and ensuring that the transition between the problem description and the proposed solutions is smoother. The paragraphing is appropriate for a formal letter, and the overall structure is coherent.

Lexical Resource — Band 6.0

You demonstrate an adequate range of vocabulary for the task, such as 'proficient', 'bilingual', and 'appropriate department'. However, there are some minor inaccuracies in word choice, such as 'conversate', which is not standard English (the correct verb is 'converse'). Additionally, 'prompt action should be taken' is good, but some phrasing is slightly repetitive. To improve, try to incorporate more precise collocations and avoid non-standard word forms. Your vocabulary is sufficient to convey your meaning clearly, but it lacks the sophistication required for higher bands.

Grammatical Range and Accuracy — Band 6.0

You use a mix of simple and complex sentence structures. However, there are several grammatical errors that occur throughout the text. For example, 'many clients has complained' should be 'have complained', and 'it could leads to' should be 'it could lead to'. There is also a minor error in 'English language' (usually just 'English' is sufficient). While these errors do not impede communication, they are frequent enough to prevent a higher score. Focusing on subject-verb agreement and modal verb usage will help improve your accuracy.
