Student answer (Band 6.5)

Dear John,

I am writing to you regarding the complaints we have received from our visitors about the reception area at the front of our main entrance, and how we can resolve this.

Some of our major clients like Mr. Smith, Mr. Siraj, and Mr. Nadim, told us that their is leakage in our reception area. While some of our clients also mentioned about the problem of bees, rats and flies, and other insects, which need to solved as soon as possible.

As reception hall is the first place that all our clients, senior managers, and new visitors see when they enter our company. As first look create an impression on everyone. The maintenances of this area should be out top most priority, otherwise it will harm the reputation of our organization.

We have to do pest control to get rid of all the insects from that area, along with that we need to check all our pipelines, going over the building, and all the damages should be fixed. Until the repair work is going on we should use our employee entrances for all our clients and visiting members.

I look forward to your prompt reply.

Kind regards,

Nizamuddin Shaukat Memon

Task Achievement / Task Response — Band 7.0

You have addressed all three bullet points of the prompt effectively. You clearly described the complaints regarding leakage and pests, explained the importance of the reception area as the company's 'first impression', and provided actionable suggestions for improvement. The tone is appropriate for a formal letter to a manager. To reach a higher band, ensure that all ideas are fully developed; for instance, you could have elaborated slightly more on why the current pest situation is specifically impacting business operations beyond just the reputation. Overall, the response is well-focused and meets the requirements of the task.

Coherence and Cohesion — Band 6.5

The letter is logically organized with a clear introduction, body paragraphs, and a conclusion. Each paragraph focuses on a specific aspect of the prompt, which aids readability. You use some cohesive devices, such as 'along with that' and 'otherwise', to link ideas. However, the flow between sentences could be improved by using a wider variety of linking words and ensuring that referencing is always precise. For example, the transition between the second and third paragraphs is a bit abrupt. Improving the variety of transitions would help the text flow more naturally.

Lexical Resource — Band 6.0

You demonstrate an adequate range of vocabulary for the task, using terms like 'reputation', 'organization', and 'prompt reply'. However, there are some inaccuracies in word choice and collocation. For example, you wrote 'their is leakage' (should be 'there is a leak') and 'maintenances' (should be 'maintenance'). Additionally, 'going over the building' is slightly unnatural; 'throughout the building' or 'within the building' would be more precise. To improve, focus on using more sophisticated collocations and ensuring that word forms are used correctly in context.

Grammatical Range and Accuracy — Band 6.0

You use a mix of simple and complex sentence structures. While the meaning is generally clear, there are several grammatical errors that occur throughout the text. Examples include 'which need to solved' (should be 'which need to be solved'), 'As first look create' (should be 'As the first look creates'), and 'Until the repair work is going on' (should be 'While the repair work is ongoing'). These errors do not impede communication, but they do indicate a need for more careful proofreading, particularly regarding subject-verb agreement and passive voice construction.
