Student answer (Band 6.5)

Dear Mr Kapoor,

I am writing this letter to provide suggestions regarding how to improve the reception area in your company.

A number of visitors of your company complained about the waiting area, as availability of less chairs foster them to stand for a long time while they wait for manager or employees. Moreover, during peak hours, clients have to stand in a long queue in the reception area, because one receptionist is unable to handle crowd of visitors. Also, interior of reception area looks like outdated and older, which is responsible for their disappointing experience.

Reception area is one of the important area and reflect the professionalism of company, where clients first get the information and suggestion related to their inquires. Moreover, tidy and welcoming reception area allows the company to build professional image among their visitors.

It would be grateful if you could change the infrastructure of reception area makes it more modern and eye-catching by classic furniture, impressive lighting and adding more comfortable chairs. Also, hiring another receptionist will be reduce the long-waiting time and provide approachable services to all clients on time.

I hope my suggestions will be helpful to you in order to improve your corporate image. Please let me know if you need any other suggestions.

Best regards,

Twinkle

Task Achievement / Task Response — Band 7.0

The letter successfully addresses all three bullet points in the prompt. You clearly describe the complaints regarding seating and staffing, explain the importance of the reception area for the company's image, and provide actionable suggestions for improvement. The tone is appropriate for a formal letter to a manager. To reach a higher band, ensure that your ideas are fully developed; for instance, you could have elaborated slightly more on how the current reception area specifically impacts client trust or business outcomes. Overall, the response is well-focused and meets the requirements of the task effectively.

Coherence and Cohesion — Band 7.0

The letter is logically organized with a clear introduction, body paragraphs addressing each prompt requirement, and a professional closing. You use cohesive devices such as 'Moreover', 'Also', and 'In order to' to link your ideas. However, some transitions feel slightly mechanical, and the paragraphing could be more refined. For example, the transition between the description of complaints and the importance of the area is functional but could be smoother. The progression of ideas is clear, and the letter follows a standard formal structure that is easy for the reader to follow.

Lexical Resource — Band 6.0

You demonstrate a sufficient range of vocabulary to convey your message clearly. Phrases like 'professional image', 'approachable services', and 'corporate image' are used appropriately. However, there are some inaccuracies in word choice and collocation, such as 'availability of less chairs' (should be 'fewer chairs') and 'looks like outdated' (should be 'looks outdated'). Additionally, 'foster them to stand' is an unnatural collocation in this context. While these errors do not impede communication, they prevent the response from reaching a higher band. Focusing on more precise collocations will improve your score.

Grammatical Range and Accuracy — Band 6.0

You use a mix of simple and complex sentence structures. There are several grammatical errors, such as 'one receptionist is unable to handle crowd' (missing article 'the'), 'Reception area is one of the important area' (should be plural 'areas'), and 'hiring another receptionist will be reduce' (incorrect verb form). While these errors are noticeable, they do not prevent the reader from understanding your meaning. To improve, pay closer attention to subject-verb agreement, article usage, and the correct formation of passive and active verb phrases in complex sentences.
