Student answer (Band 7.0)
Dear Karan,
I hope you are doing great. I am writing this to you to make some suggestion regarding the improvement of our reception area.
Recently, we have received several complaints from visitors regarding the waiting time is very long especially during the peak hours because we have just one receptionist to do all the work. Some clients also mentioned that our front area is overcrowded, has poor lighting, and lack of directional signs which are affecting our business standard.
The Reception area is such a significant part of our company because this is the first step to meet clients for job applications and business meetings. Moreover, it shows the professionalism and helps to strengthen the bond with customers.
To improve the reception area, we need to hire one more receptionist to reduce the waiting time. In addition, new directional signs, a well-organized seating area, a redesign of the decor, and new paint would definitely enhance our first impression on visitors.
I hope you will consider my suggestions and I believe this would help you to improve our area.
Yours sincerely,
Parminder Kaur

Task Achievement / Task Response — Band 7.5
You have successfully addressed all three bullet points in the prompt. You clearly described the complaints regarding waiting times and the physical state of the reception, explained the importance of the area for company image, and provided actionable suggestions for improvement. The tone is appropriate for a professional letter to a manager. The ideas are well-developed and relevant, ensuring the reader understands the context and the proposed solutions. To reach a higher band, you could expand slightly more on the 'why'—for instance, explaining how specific improvements like better lighting might directly impact visitor comfort or employee productivity.
Coherence and Cohesion — Band 7.0
The letter is logically organized with a clear introduction, body paragraphs addressing each prompt requirement, and a polite closing. Paragraphing is used effectively to separate the complaints, the importance of the area, and the suggestions. You use some cohesive devices such as 'Moreover', 'In addition', and 'To improve the reception area' to guide the reader through your arguments. The flow of ideas is smooth and easy to follow. To improve further, ensure that the transition between the description of the problems and the importance of the area is slightly more fluid to avoid a list-like feel.
Lexical Resource — Band 6.5
You demonstrate a sufficient range of vocabulary to convey your message clearly. Phrases like 'peak hours', 'business standard', and 'enhance our first impression' are well-chosen and appropriate for the context. There are no significant errors in word choice that impede communication. However, the vocabulary is generally functional rather than sophisticated. To aim for a higher band, try to incorporate more precise collocations or less common lexical items, such as 'alleviate the congestion' instead of 'reduce the waiting time' or 'aesthetic appeal' instead of 'decor'.
Grammatical Range and Accuracy — Band 6.0
You use a mix of simple and complex sentence structures, which is generally effective. However, there are some grammatical slips that prevent a higher score. For example, 'regarding the waiting time is very long' should be 'regarding the fact that the waiting time is very long' or 'regarding the long waiting times'. Additionally, 'lack of directional signs' should be 'a lack of directional signs' or 'lacks directional signs'. While these errors do not impede communication, they indicate a need for more consistent control over articles and sentence construction.
