Student answer (Band 7.5)
Dear Karan,
I hope you are doing great. I am writing this to you to make some suggestions regarding the improvement of our reception area.
Recently, we have received several complaints from visitors regarding the waiting time being very long especially during the peak hours because we have just one receptionist to do all the work. Some clients also mentioned that our front area is overcrowded, has poor lighting, and lacks of directional signs which are affecting our business standard.
The Reception area is such a significant part of our company because this is the first step to meet clients for job applications and business meetings. Moreover, it shows the professionalism and helps to strengthen the bond with customers.
To improve the reception area, we need to hire one more receptionist to reduce the waiting time. In addition, new directional signs, a well-organized seating area, a redesign of the decor, and new paint would definitely enhance our first impression on visitors.
I hope you will consider my suggestions and I believe this would help you to improve our area.
Yours sincerely,
Parminder Kaur

Task Achievement / Task Response — Band 7.5
You have successfully addressed all three bullet points in the prompt. You clearly described the complaints regarding waiting times and the physical state of the reception area, explained its importance as the 'first step' for clients, and provided actionable suggestions for improvement. The tone is appropriate for a professional letter to a manager. The ideas are relevant and well-developed, ensuring the reader understands both the problem and the proposed solutions. To reach a higher band, you could expand slightly on the impact of these improvements, such as how they might specifically increase client satisfaction or company efficiency.
Coherence and Cohesion — Band 8.0
The letter is logically organized with a clear introduction, body paragraphs addressing each requirement, and a polite closing. You use cohesive devices such as 'Moreover', 'In addition', and 'Recently' to link your ideas effectively. The paragraphing is appropriate, with each paragraph focusing on a distinct aspect of the task. The progression of ideas is smooth, moving from the problem to the rationale and finally to the solutions. The flow is natural and easy to follow throughout the response.
Lexical Resource — Band 7.0
You demonstrate a good range of vocabulary suitable for a professional context, such as 'peak hours', 'professionalism', and 'well-organized'. There is a minor error in the phrase 'lacks of directional signs', which should simply be 'lacks directional signs'. Despite this, the vocabulary is precise enough to convey your meaning clearly. To improve, try to incorporate more sophisticated collocations or topic-specific terminology related to office management or customer experience to demonstrate a wider, more flexible range of lexical items.
Grammatical Range and Accuracy — Band 7.5
Your grammar is generally strong, with a mix of simple and complex sentence structures. You use complex sentences effectively, such as 'I am writing this to you to make some suggestions regarding the improvement of our reception area.' There are very few errors, and those present do not impede communication. The sentence structure is varied, and punctuation is used correctly throughout. The occasional minor slip, such as the previously mentioned 'lacks of', does not detract from the overall clarity and professional tone of the letter.
