Student answer (Band 7.5)
Dear Karan,
I hope you are doing great. I am writing this to you to make some suggestions regarding the improvement of our reception area.
Recently, we have received several complaints from visitors regarding the waiting time being very long especially during the peak hours because we have just one receptionist to do all the work. Some clients also mentioned that our front area is overcrowded, has poor lighting, and lacks directional signs which are affecting our business standard.
The Reception area is such a significant part of our company because this is the first step to meet clients for job applications and business meetings. Moreover, it shows the professionalism and helps to strengthen the bond with customers.
To improve the reception area, we need to hire one more receptionist to reduce the waiting time. In addition, new directional signs, a well-organized seating area, a redesign of the decor, and new paint would definitely enhance our first impression on visitors.
I hope you will consider my suggestions and I believe this would help you to improve our area.
Yours sincerely,
Parminder Kaur

Task Achievement / Task Response — Band 8.0
You have addressed all three bullet points of the prompt effectively. You clearly described the complaints regarding waiting times and the physical state of the reception, explained the importance of the area as a 'first step' for visitors, and provided specific, actionable suggestions for improvement. The tone is appropriate for a professional letter to a manager. The ideas are well-developed and the purpose of the letter is clear from the outset. To reach a higher band, you could expand slightly more on the impact of these improvements on the company's overall reputation to further demonstrate the significance of your suggestions.
Coherence and Cohesion — Band 8.0
The letter is logically organized with a clear introduction, body paragraphs addressing each prompt requirement, and a polite closing. You use cohesive devices such as 'Moreover,' 'In addition,' and 'Recently' to link your ideas effectively. The paragraphing is appropriate, with each paragraph focusing on a distinct aspect of the task. The flow of information is smooth, and the progression of ideas is easy to follow. The use of referencing is clear, and the overall structure supports the message well.
Lexical Resource — Band 7.0
You demonstrate a good range of vocabulary appropriate for a formal business context, such as 'peak hours,' 'professionalism,' and 'enhance.' The word choices are generally accurate and convey your meaning clearly. There are no significant spelling or word-choice errors. To improve further, you could incorporate more sophisticated collocations or topic-specific vocabulary related to office management or customer experience to demonstrate a wider, more flexible range of lexical items.
Grammatical Range and Accuracy — Band 7.5
Your grammar is generally accurate, and you use a mix of simple and complex sentence structures effectively. For example, the sentence 'Some clients also mentioned that our front area is overcrowded, has poor lighting, and lacks directional signs which are affecting our business standard' shows good control over complex structures. There are very few errors, and those present do not impede communication. The punctuation is correct throughout the letter. To achieve a higher score, ensure consistent use of articles and prepositions, as there are minor slips such as 'the first step to meet clients' which could be phrased more naturally.
