Student answer (Band 7.5)

Dear Karan,

I hope you are doing great. I am writing this to you to make some suggestions regarding the improvement of our reception area.

Recently, we have received several complaints from visitors regarding the waiting time being very long especially during the peak hours because we have just one receptionist to do all the work. Some clients also mentioned that our front area is overcrowded, has poor lighting, and lacks of directional signs which are affecting our professional reputation.

The reception area is such a significant part of our company because this is the first step to meet clients for job applications and business meetings. Moreover, it shows the professionalism and helps to strengthen the bond with customers.

To improve the reception area, we need to hire one more receptionist to reduce the waiting time. In addition, new directional signs, a well-organized seating area, a redesign of the decor, and new paint would definitely enhance our first impression on visitors.

I hope you will consider my suggestions and I believe this would help you to improve our area.

Yours sincerely,

Parminder Kaur

Task Achievement / Task Response — Band 7.5

The response successfully addresses all three bullet points of the prompt. You clearly describe the complaints regarding waiting times and the physical state of the reception area. You also explain the importance of the area as a 'first step' for clients and provide concrete suggestions for improvement, such as hiring additional staff and redecorating. The tone is appropriate for a formal letter to a manager, and the purpose of the communication is clear throughout. To reach a higher band, you could provide slightly more detail on how the proposed changes would specifically resolve the mentioned complaints.

Coherence and Cohesion — Band 8.0

The letter is well-organized with a clear introduction, body paragraphs for each requirement, and a polite closing. The progression of ideas is logical, moving from the problems to the importance of the area, and finally to the solutions. You use cohesive devices such as 'Moreover', 'In addition', and 'Recently' to link your ideas effectively. The paragraphing is appropriate, and the overall structure makes the letter easy to follow. The flow is natural, and the relationship between the ideas is consistently clear.

Lexical Resource — Band 7.0

You demonstrate a good range of vocabulary appropriate for a professional context, such as 'professional reputation', 'well-organized', and 'enhance our first impression'. There are a few minor issues, such as 'lacks of directional signs' (should be 'lacks directional signs' or 'a lack of directional signs'). While the vocabulary is sufficient and generally accurate, incorporating a few more sophisticated collocations or less common lexical items would help elevate the response to a higher band level.

Grammatical Range and Accuracy — Band 7.5

The response uses a mix of simple and complex sentence structures effectively. Most sentences are error-free, and the grammar is generally accurate. There is a minor error in the phrase 'lacks of directional signs', and the sentence 'this is the first step to meet clients' could be phrased more naturally as 'this is the first point of contact for clients'. However, these errors are infrequent and do not impede communication. Your control over punctuation and sentence construction is strong, supporting clear and professional communication.
