There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Dear Sir,

I am writing to giving you a suggestion to improve management of the reception area in our company.

There have been numerous complaints have made about the reception area by the visitors. Firstly, the visitors have to wait for a longer period of time outside, despite no one is inside the office. Secondly, all staffs seem busy, and proper guidance and respect is not given by receptionist. Moreover, services like drinking water or coffee machine are not available in waiting area.

I believe reception area is the most significant component of any company, because it reflects first impression of the office in front of visitors. Therefore, it should be well organised and systematic. Furthermore, people can judge company's reputation by initial hospitality in the company. Overall, negative impact on visitor's mind can impact on the company's reputation, revenue and the future growth negatively.

There are several measures should be taken to solve this concern. Proper training to the receptionist should be provided to understand how to handle visitors and tackle the situations. Another step is to provide services such as asking for water and coffee in waiting area, it shows respect towards visitors.
