There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Dear XYZ,
I am writing this letter to express my concerns about the complaints that were made by the visitors regarding the reception area upon arrival of our company ABC. As per your request, I am thereby writing this to suggest some ideas to improve this space and manage customer complaints.
First of all, I reviewed all the customer complaints and found that most of the visitors were unsatisfactory of the congested reception area, while others complaint about the unavailability of the basic beverages like water. And more importantly they were not pleased with seeing the reception desk empty and being lost in the hall.
I believe the first impression of the customer about the company is made in the reception area. Honestly, receptionist is the first point of contact of the customer where we can make them feel important from the beginning of their visit and strengthen the bond with them. Only after we provide good service to our visitors, they will decide if they want to do business with us in the future. It is also about word of mouth, when they have bad experience with our customer care, they will say the same thing in the market and it will disallow other visitors to even enter our company.
I inspected our reception area, and I noticed that we do have enough space but the utilization of space is not sophisticated. For instance, we can remove the sofa set from the center and fix it to the wall. This will allow the area to look much bigger. And addition of aesthetic plants and some posters on the wall can enhance our reception area overall. I also want to suggest you to have two receptionists at a time, so that when one of them is on break, other can respond the customer. This way no customer remains unattended.
