Student answer (Band 6.5)

Dear Karan,

I hope you are doing well!

Since 2 weeks we were getting a spectrum of complains by visitors via digital feedback form of company's service. The major complaints are about the reception services at front of the office. Firstly, there have been huge line-ups at reception desk during peak hours of visitors. As a result, visitors are not getting satisfactory services. They are also demanding for more staffs and even in employee feedback form, lots of complains we received about lack of staffing leads to an increase in employee fatigue.

The Front area at reception desk plays an essential role as it creates first image about our company in our visitor's mind just like trailer of the movie. If that first impression works well to them, it will boost our sales and satisfactory customers. Thus, below are the few recommendations that I would like to share with you. Firstly, recruit required staff to match the demand of employee. Then train them to work in fast paced environment along with utmost satisfaction among visitors. The promotion and commission should also be provided to employees on their performance through feedback form by visitors. It will also boost their motivation to create satisfactory customer base.

Thank you for giving time to this matter and hope that new reception environment will be exceptional!

Yours Sincerely,

Devam Modi

Task Achievement / Task Response — Band 7.0

The response addresses all three bullet points of the prompt. You clearly describe the complaints regarding line-ups and staffing, explain the importance of the reception area as a 'first image' of the company, and provide actionable recommendations. The tone is appropriate for a letter to a manager. However, some ideas could be more fully developed; for instance, the link between employee fatigue and visitor satisfaction is mentioned but could be explained with more nuance. Overall, the task is fulfilled effectively, and the purpose of the letter is clear from the beginning.

Coherence and Cohesion — Band 7.0

The letter is logically organized with a clear introduction, body paragraphs, and a closing. Paragraphing is used appropriately to separate the different requirements of the task. You use cohesive devices such as 'Firstly', 'As a result', and 'Thus' to guide the reader through your arguments. While the flow is generally good, some transitions feel slightly mechanical. The referencing is clear, and the progression of ideas from the problem to the importance and finally to the solutions is logical and easy to follow throughout the text.

Lexical Resource — Band 6.0

You demonstrate a sufficient range of vocabulary to convey your message clearly. Phrases like 'spectrum of complains', 'peak hours', and 'fast paced environment' are relevant to the context. However, there are some inaccuracies in word choice and collocation, such as 'demanding for more staffs' (staff is an uncountable noun in this context) and 'satisfactory customers' (which should be 'satisfied customers'). While these errors do not impede communication, they prevent the response from reaching a higher band. A more precise selection of words would enhance the professional tone of the letter.

Grammatical Range and Accuracy — Band 6.0

The response uses a mix of simple and complex sentence structures. There are several grammatical errors, such as 'Since 2 weeks we were getting' (should be 'For the past two weeks, we have been receiving') and 'works well to them' (should be 'works well for them'). Additionally, there are minor issues with article usage and pluralization, such as 'lots of complains' instead of 'complaints'. Despite these errors, the meaning remains clear, and the sentence structures are varied enough to maintain the reader's interest. Focusing on verb tenses and noun countability will help improve your accuracy.
