There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Dear Sir,

I am writing this letter to provide you with some suggestions for improvements to the reception area as we have been getting numerous complaints from our visitors.

Yesterday when I was covering break of one of our receptionists, as soon as our regular customer arrived in the store, he mentioned that brightness of the lighting is not good especially in the afternoon at reception and he sad that he could no see me sitting at the reception. In addition to this, many complain about less chairs in the waiting area as it creates trouble when many customers arrive at the same time. We are often required to move chairs from our personal offices to the reception so that they can comfortably wait while our executives are occupied with other clients.

As per company policy we generally allow customers some time to decide for their decision before initiating their application process so our reception area is one of the most important section where customer can sit and discuss with their family members without disturbing any staff member or other clients. Therefore, I believe that we must have a spacious section for our reception with ample space for sitting and separate meeting for their personal discussion.

I would like to suggest if we can use our storage room close to reception for waiting room as it will not only provide enough space for sitting but will also allow customers to decide or discuss in private area. In addition to this, Please also contact an electrician regarding installation of upgraded lights to increase visibility.
