Student answer (Band 6.5)

Dear Mr. Chen

The purpose of my writing today is to inform you about the complains we have been receiving from most of our visitors about the reception area.

The main concern appears to be is in the reception it it often get very crowded in evening and there is not much sitting arrangement for the customers they have to stand for long hours until there turn. Secondly, there is only one receptionist at a time and its hard to address all the customers at same time, this leads to another reason for alot of mistake made while made while appointments.

I believe the reception area is most important for the company as it reflects our first impression. Visitor involve our recurring customers, new customers and also our business partners. Apart from that, if the reception area is welcoming and provides a good environment for everyone it will project a more positive image of the company.

I would like to recommend to readjust the furniture setting and add more seating area, like comfortable chairs or couches for the visitors to sit. Furthermore, it would be beneficial if add some spark of artwork and plants which will be more pleasing to eyes. Lastly, during the peak hours there should be one more receptionist to assist visitors, these small improvement can leave a big impact to the customers.

I am looking forward to seeing how my suggestions translate into prompt action from your side. Your kind cooperation would be most appreciated.

Your sincerely,

Gagandeep Singh

Task Achievement / Task Response — Band 7.0

You have addressed all three bullet points of the task effectively. You described the complaints regarding overcrowding and staffing, explained the importance of the reception as a 'first impression' for partners and customers, and provided specific suggestions for improvement, such as furniture adjustments and additional staffing. The tone is appropriate for a formal letter to a manager, and the purpose is clear throughout. To reach a higher band, ensure that your ideas are slightly more developed; for instance, you could briefly explain how the proposed artwork would specifically benefit the company's brand image. Overall, the response is well-focused and meets all requirements of the prompt.

Coherence and Cohesion — Band 6.5

The letter is logically organized with a clear introduction, body paragraphs for each requirement, and a professional closing. You use transition words such as 'Secondly', 'Apart from that', and 'Furthermore' to guide the reader through your arguments. However, the cohesion is occasionally mechanical, and there are some minor issues with referencing and sentence flow, such as the run-on sentence in the second paragraph: '...at the same time, this leads to another reason...'. Improving the variety of your linking phrases and ensuring that each sentence is clearly connected to the previous one would enhance the flow and help you achieve a higher score.

Lexical Resource — Band 6.0

You demonstrate an adequate range of vocabulary for the task, using terms like 'recurring customers', 'prompt action', and 'positive image'. However, there are several instances of awkward phrasing and word choice errors, such as 'alot of mistake made while made while appointments' and 'pleasing to eyes'. These errors do not impede communication, but they do limit the precision of your writing. To improve, focus on collocations—for example, 'making appointments' or 'pleasing to the eye'—and avoid repetitive phrasing. Expanding your repertoire of formal business vocabulary will help you move into the higher bands.

Grammatical Range and Accuracy — Band 6.0

You use a mix of simple and complex sentence structures, which is appropriate for this task. However, there are frequent grammatical errors, particularly with subject-verb agreement ('it often get very crowded') and article usage ('in the reception', 'at same time'). Additionally, there are some punctuation and structural slips, such as the repetitive 'made while made while' in the second paragraph. While these errors rarely impede the overall meaning, they are frequent enough to prevent a higher score. Focusing on proofreading for basic subject-verb agreement and ensuring correct article usage will significantly improve your accuracy.
