Student answer (Band 7.0)

Dear Manager,

I hope this message finds you well. I would like to inform about the complaints that visitors made regarding the reception area of our company and would like to give some suggestion on this.

One of the most common issues that visitors usually experienced is the extended waiting time, as they have to wait considerable amount of time in long queues. Moreover, some also complained about the cleanliness of the place, many areas look unorganized and untidy.

The reception area should be well-organized because it presents the whole image of the company. It is the first place where customers visit and anticipate the company's performance and quality of service. A well functional and organized area have positive impact on company's reputation.

I would like to offer my suggestion to improve the reception area. I believe the company should place more reception desk, which can significantly reduce the waiting times of customers. In addition, the cleaning staff should be properly trained and instructed to maintain cleanliness throughout the operational hours. These steps can contribute to effectively address these issues.

I hope you find these suggestions helpful. I look forward to your prompt action.

Yours sincerely,

Harmeet

Task Achievement / Task Response — Band 7.0

The letter covers all three bullet points required by the prompt. You clearly describe the complaints regarding waiting times and cleanliness, explain the importance of the reception area as the company's 'first impression', and offer logical suggestions for improvement. The tone is appropriate for a professional letter to a manager. To reach a higher band, ensure that your ideas are slightly more developed; for instance, you could elaborate on how the training for cleaning staff would be implemented or what specific 'unorganized' aspects could be addressed. Overall, the task is fully addressed.

Coherence and Cohesion — Band 7.5

The letter is logically organized into clear paragraphs, each focusing on a specific aspect of the task. You use transition words such as 'Moreover', 'In addition', and 'I believe' to guide the reader through your arguments. The progression of ideas is smooth and easy to follow. To improve, you could vary your cohesive devices further, as some transitions are quite standard. The referencing is generally clear, and the structure of the letter follows standard conventions for a formal request.

Lexical Resource — Band 6.5

You demonstrate a sufficient range of vocabulary to convey your message clearly. Phrases like 'extended waiting time', 'operational hours', and 'company's reputation' are used correctly. However, there are some minor inaccuracies in word choice and collocation, such as 'place more reception desk' (should be plural 'desks') and 'well functional' (should be 'well-functioning'). While these errors do not impede communication, they prevent the use of vocabulary from being considered 'flexible' or 'sophisticated' at the highest level.

Grammatical Range and Accuracy — Band 6.5

You use a mix of simple and complex sentence structures. There are some grammatical errors, such as subject-verb agreement issues (e.g., 'A well functional and organized area have positive impact' should be 'has a positive impact') and missing articles (e.g., 'give some suggestion' should be 'give some suggestions'). Despite these errors, the meaning is always clear, and the punctuation is generally accurate. To improve, focus on proofreading for singular/plural agreement and article usage, as these are the most frequent slips in your writing.
