Student answer (Band 6.5)

Dear Sir or Madam,

I am writing to provide a few suggestions to improve the reception area of the company. Let me share a few thoughts with you.

Since five months, several visitors registered many complaints regarding the waiting hall. Firstly, some people reported the entry hall was quite small and there were not enough chairs for sitting. In addtion, they also complained about the washrooms were quite far from the reception and not easy to find.

I believe, reception area illustrates the image of the organization, if people give negative reviews about it, it will directly links to the company reputation. I also believe that the customer is god if we not respect them, the customer will never buy products from us.

I recommend, we could increase the size of the reception area by demolished the store room right next to the waiting area. Additionally, we could add washrooms near to the waiting hall and improve the sitting plan by adding new couches and chairs. I would be happy to make AutoCAD drawing for our reception area, so we can utilize the space efficiently.

Thank you for your time and consideration. I look forward to your response.

Yours sincerely,

Parminder

Task Achievement / Task Response — Band 7.0

The letter addresses all three bullet points of the prompt effectively. You clearly describe the complaints regarding the small size of the hall and the location of the washrooms. You also explain the importance of the reception area in terms of company image and customer satisfaction, and provide concrete suggestions for improvement, such as demolishing the store room and upgrading furniture. The tone is appropriate for a formal letter to a manager. To reach a higher band, ensure that your ideas are slightly more developed; for instance, you could elaborate on how the new layout would specifically benefit the workflow or visitor experience.

Coherence and Cohesion — Band 6.5

The letter is logically organized into clear paragraphs, each serving a specific purpose. You use some cohesive devices such as 'Firstly', 'In addition', and 'Additionally' to connect your ideas. However, the flow is occasionally interrupted by minor mechanical errors in sentence structure, such as 'Since five months' instead of 'For the past five months'. The transition between the importance of the reception and the suggested improvements could be smoother. Overall, the progression of ideas is clear, and the paragraphing is appropriate for a formal letter.

Lexical Resource — Band 6.0

You demonstrate an adequate range of vocabulary for the task, using terms like 'reputation', 'efficiently', and 'consideration'. There are some minor errors in word choice and collocation, such as 'illustrates the image' (should be 'reflects the image') and 'customer is god' (which is an idiom that sounds slightly unnatural in this formal context). While you successfully communicate your meaning, the vocabulary is somewhat functional rather than sophisticated. Incorporating more precise business-related collocations would help elevate your score in this criterion.

Grammatical Range and Accuracy — Band 6.0

You use a mix of simple and complex sentence structures. While the meaning is always clear, there are several grammatical errors that occur throughout the text. Examples include 'Since five months' (preposition error), 'it will directly links' (subject-verb agreement), 'if we not respect them' (missing auxiliary verb), and 'make AutoCAD drawing' (missing article). These errors are frequent but do not impede communication. To improve, focus on subject-verb agreement and the correct use of articles and prepositions in complex sentences.
