Dear ................. ,
Student answer (Band 8.0)
Dear Mr. Johnson,
I am writing to suggest some improvements to the reception area following several complaints from visitors and staff.
The main concerns are that the reception area is often crowded and untidy, while the seating is insufficient during busy periods. Visitors have also mentioned that the waiting area looks outdated and that there is inadequate signage, making it difficult for first-time guests to find the appropriate department.
As the reception is the first point of contact for visitors, it creates an immediate impression of our company. A clean, welcoming and well-organised reception area would therefore demonstrate professionalism and make visitors feel more comfortable and valued.
I would suggest replacing the old furniture with comfortable seating, introducing clearer directional signs and improving the lighting. In addition, installing a digital visitor-registration system could reduce queues and make the check-in process more efficient. Finally, regular cleaning and maintenance should be arranged throughout the day.
I hope you will consider these suggestions, as they could significantly improve visitors’ experience.
Yours sincerely,
[Your Name]

Task Achievement / Task Response — Band 8.0
You have fully addressed all three bullet points in the prompt. You clearly described the complaints (crowded, untidy, outdated, poor signage), explained the importance of the reception as the 'first point of contact,' and provided specific, actionable suggestions for improvement. The tone is appropriate for a formal letter to a manager, and the purpose is clear from the outset. The ideas are well-developed and logically presented, meeting all the requirements of the task effectively.
Coherence and Cohesion — Band 8.0
The letter is well-structured with a clear introduction, body paragraphs for each requirement, and a polite closing. You have used cohesive devices effectively, such as 'The main concerns are,' 'As the reception is,' 'In addition,' and 'Finally,' which help guide the reader through your arguments. Paragraphing is logical and contributes to the overall clarity of the message. The progression of ideas is smooth, and there is a clear sense of purpose throughout the text.
Lexical Resource — Band 7.5
You demonstrate a good range of vocabulary appropriate for a professional context. Phrases like 'first point of contact,' 'inadequate signage,' and 'check-in process' are precise and well-chosen. You avoid repetition and use a variety of descriptive adjectives such as 'outdated,' 'insufficient,' and 'efficient.' While the vocabulary is accurate and fits the context well, it remains standard; incorporating a few more sophisticated or idiomatic business collocations could elevate this further, but the current level is strong and error-free.
Grammatical Range and Accuracy — Band 8.0
Your writing displays a high level of grammatical control. You use a mix of simple and complex sentence structures effectively, such as the use of participial phrases ('making it difficult for...') and conditional-like structures ('would therefore demonstrate'). Punctuation is accurate, and there are no noticeable errors in tense or subject-verb agreement. The majority of your sentences are error-free, and the flow is natural and professional. The grammatical range is sufficient to convey complex ideas clearly and accurately.
