Student answer (Band 7.0)

Dear Sir or Ma'am,

I am writing to provide some suggestions in order to improve the reception area. There have been many complaints by our visitors so now it is important to respond and take action on them.

The complaint that we have often received from our feedback forms is lack of professional behavior by the receptionist.

Some visitors also complained about unattended reception desk. There also have been complaints about the waiting area with poor seating space and no windows making the space very suffocating.

The reception provides initial impression of any commercial institution and is the first source of interaction between a visitor and the company. It signifies presentation and organizational skills of the company. Therefore, its maintenance is of critical importance.

I suggest that we should immediately start the hiring process for a professional and experienced receptionist. Also, for the waiting area it would be beneficial if we consult an interior designer to give more life to the room so that it welcomes visitors with warmth.

I hope you find my suggestions useful.

Yours faithfully,

Kashish

Task Achievement / Task Response — Band 7.5

The response successfully addresses all three bullet points of the prompt. You clearly describe the complaints regarding the receptionist's behavior and the physical state of the waiting area. You also explain the importance of the reception area as the 'first source of interaction' and provide two distinct suggestions for improvement: hiring a new receptionist and consulting an interior designer. The tone is appropriate for a formal letter to a manager. The ideas are well-developed and relevant, fulfilling the requirements of the task effectively. To reach a higher band, you could expand slightly more on the specific benefits of your proposed changes to demonstrate a deeper level of critical thinking.

Coherence and Cohesion — Band 7.0

The letter is logically organized with a clear introduction, body paragraphs addressing each bullet point, and a professional closing. Each paragraph focuses on a single theme, which aids readability. You use some cohesive devices such as 'Therefore' and 'Also' to link ideas. However, the flow could be improved by using a wider variety of linking words and transition phrases to connect sentences more fluidly. For instance, the transition between the complaints and the importance of the area is a bit abrupt. Overall, the progression of ideas is clear and easy to follow throughout the text.

Lexical Resource — Band 6.5

You demonstrate a sufficient range of vocabulary to convey your message clearly. Phrases like 'commercial institution' and 'critical importance' are used appropriately. There are some minor issues with collocation, such as 'lack of professional behavior' (which would be more natural as 'a lack of professionalism') and 'unattended reception desk' (which needs an article: 'an unattended reception desk'). While the vocabulary is adequate for the task, incorporating more precise or sophisticated synonyms would enhance the quality of your writing. The current range is functional but lacks the flexibility required for higher bands.

Grammatical Range and Accuracy — Band 6.5

You use a mix of simple and complex sentence structures, which is appropriate for this task. Most of your sentences are clear and grammatically sound. However, there are some minor errors, such as missing articles ('the reception provides initial impression' should be 'the reception provides the initial impression') and some awkward phrasing ('There also have been complaints'). Despite these slips, your meaning is never obscured, and the grammar is generally reliable. To improve, focus on article usage and ensuring subject-verb agreement in more complex sentences.
