Student answer (Band 6.0)

Dear Mandy,

I am writing to suggest the ways in which we can improve our reception area. After getting so many complaints it is the need of an hour to take an action on those feedbacks.

In the last few months, guests have complaint about the long wait during peak hours because of the one receptionist. Furthermore, there are not enough space and furniture to accomodate large number of peoples. Also, there are not enough signage to direct guests to the meeting hall which sometimes frustrate them.

I believe reception area is the first impression guests get about the company and if we don't maintain it will result in loosing clients.

I think if we can hire one more receptionist there will be less queues and guests will get attended immediately when they step in. Another step we can take is to expand the reception area with more sitting area available for clients, so that people can sit comfortably while waiting for their turn. Also, we need more directional signs to help customers to get to their directions effortlessly.

I hope these steps will help to make better customer experience.

Yours faithfully

Tanmeet

Task Achievement / Task Response — Band 6.5

The letter addresses the task well by detailing the complaints regarding the reception area, such as the long wait times and inadequate space. It also emphasizes the importance of the reception area in creating a positive first impression. However, while suggestions for improvement are provided, they could be more specific or detailed to fully meet the task requirements. Overall, the task is adequately achieved, though further elaboration on the significance and suggested actions could strengthen it further.

Coherence and Cohesion — Band 6.0

The coherence and cohesion of the letter are fairly good. The structure follows a logical progression: introduction, identification of issues, importance, and suggestions for improvement. However, the transitions between ideas can be improved for clarity—for example, using phrases like "Additionally" or "Moreover" would make connections between points clearer. Some sentences could be split for better readability, improving the overall flow of the letter.

Lexical Resource — Band 6.0

The lexical resource used in the letter is adequate, showcasing some relevant vocabulary related to the context, such as "complaints," "reception area," and "signage." However, the use of phrases like "need of an hour" could be replaced with more appropriate wording, such as "urgent need." The vocabulary range is somewhat limited, and the letter could benefit from more varied word choice to demonstrate a higher level of lexical resource.

Grammatical Range and Accuracy — Band 5.5

The grammatical range and accuracy have moments of clarity but also contain several errors that affect the overall impression. For example, "guests have complaint" should be "guests have complained," and "accomodate large number of peoples" should be "accommodate a large number of people." Minor punctuation errors are present, such as missing commas. Despite these issues, the overall message is mostly clear, reflecting a reasonable grasp of English grammar.

Overall feedback

Overall, your letter demonstrates a good understanding of the task requirements, with relevant content and a logical structure. To elevate your writing, focus on refining your grammar and enhancing your vocabulary choices. For instance, reviewing subject-verb agreements and ensuring proper word forms would improve clarity and professionalism. Additionally, developing your suggestions further with specific examples would help create a stronger impact. Practice varying your vocabulary and making your sentences more concise to enhance coherence. Keep up the good work!
