Dear ................. ,
Student answer (Band 7.5)
Dear Mr Smith,
I am writing to suggest some ways to improve the reception area of our company as you asked in your last email.
There have been many complaints from visitors who arrive about the reception area. Some complained it looks outdated, and there is not enough seating space, while others asked why there is no separate washroom for the visitors, since they need to use the staff washroom.
In my view, a reception should provide a welcoming environment to the guests and should also refelct the values of our company. It should not feel too cramped and lack the basic services our customers deserve.
First, I suggest to replace the old spacious desk with a modern sleek desk to give a fresh look to the reception. Second, I think we should increase seating space by adding couple of more chairs. Last, I suggest we could convert the adjacent supplies room into a modern washroom which can be designated only to visitors. I am sure all these changes will positively influence our visitors.
I hope you will consider my suggestions helpful.
Yours sincerely,
Rashpal Kaur

Task Achievement / Task Response — Band 8.0
You have fully addressed all three bullet points of the task. You clearly described the complaints regarding the outdated appearance and lack of facilities, explained the importance of the reception as a reflection of company values, and provided three logical suggestions for improvement. The tone is appropriate for a formal letter to a manager, and the purpose of the communication is clear from the outset. The ideas are well-developed and relevant to the prompt, demonstrating a good understanding of the task requirements.
Coherence and Cohesion — Band 8.0
The letter is logically organized with a clear introduction, body paragraphs for each requirement, and a polite closing. You have used transition signals such as 'First', 'Second', and 'Last' to guide the reader through your suggestions. Paragraphing is used effectively to separate the different aspects of the task. The flow of ideas is smooth, and the relationship between the complaints and the proposed solutions is easy to follow. Cohesive devices are used appropriately without being repetitive or mechanical.
Lexical Resource — Band 7.0
You demonstrate a good range of vocabulary suitable for a professional context, such as 'welcoming environment', 'designated', and 'positively influence'. There is one minor spelling error ('refelct' instead of 'reflect'), but this does not impede communication. You use collocations well, such as 'modern sleek desk'. To reach a higher band, you could incorporate more sophisticated or precise vocabulary to describe the current state of the reception, such as 'dilapidated' or 'inadequate facilities', rather than relying on simpler descriptors.
Grammatical Range and Accuracy — Band 7.0
Your grammar is generally accurate, and you use a mix of simple and complex sentence structures effectively. For example, 'I suggest we could convert the adjacent supplies room into a modern washroom which can be designated only to visitors' is a well-constructed complex sentence. There are minor slips, such as 'adding couple of more chairs' (missing an article: 'a couple of') and 'I suggest to replace' (the verb 'suggest' is better followed by a gerund or a 'that' clause: 'I suggest replacing' or 'I suggest that we replace'). These errors are infrequent and do not hinder understanding.
